Job summary

Hyatt Regency Phoenix is seeking an Event Planning Manager to plan, coordinate, and execute group events contracted by the Sales team, delivering an exceptional client experience from pre-planning through completion.

You will serve as the primary liaison between clients and hotel operations, ensuring flawless event execution, strong service standards, and proactive problem-solving across multiple priorities.

Qualifications

• Strong attention to detail and organizational skills.
• Ability to work flexible schedules, including evenings, weekends, and holidays as needed.
• Minimum of two- three years of administrative or office experience required.
• Previous experience in event planning, event coordination, or hospitality preferred.
• Self-motivated with a commitment to delivering exceptional guest and client experiences.
• Ability to manage multiple priorities and work effectively in a team-oriented environment.
• Strong communication, customer service, and problem-solving skills.
• Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and hotel property management systems.
• Ability to work independently while maintaining a high level of professionalism and accountability.

Responsibilities

• Coordinate and plan meetings, events, and group functions.
• Serve as the primary contact for clients throughout the event planning process.
• Work closely with Sales, Operations, Culinary, and other departments to ensure successful event execution.
• Communicate event details, timelines, and special requests to all relevant teams.
• Conduct site tours for confirmed groups and clients.
• Monitor events on-site and address client needs or concerns.
• Maintain accurate event records, contracts, and documentation in Hyatt systems.
• Review and reconcile event billing with clients and the Finance team.
• Attend and lead event planning and group resume meetings.
• Meet service, guest satisfaction, and revenue goals.
• Perform other duties as assigned by hotel leadership.
