This role ensures efficient workflows, professional communication with patients and referral partners, and accurate medical record management in accordance with hospice regulatory requirements.The position works closely with clinical leadership, intake, and administrative teams to support the delivery of high-quality patient care.Key ResponsibilitiesScheduling & Staffing CoordinationCoordinate daily clinician schedules and staffing assignments.Serve as the primary point of contact for scheduling and staffing-related communication.Collaborate with Intake to confirm staffing availability for new hospice admissions and referrals.Process scheduling adjustments, reassigned caseloads, missed visits, and visit updates.Monitor staff coverage and communicate staffing gaps or operational needs to leadership.Maintain accurate records of employee availability, competencies, and productivity metrics.Front Office & Administrative SupportAnswer, screen, and route incoming calls in a professional and compassionate manner.Provide administrative support to agency leadership while maintaining confidentiality.Manage agency correspondence, meeting documentation, and general office organization.Maintain current forms, templates, and documentation consistent with hospice compliance requirements.Track physician orders and monitor signature completion logs.Manage administrative supplies, postage, and office records.Assist with patient chart closure and administrative discharge processes.Medical Records CoordinationMaintain clinical records in compliance with state, federal, and hospice regulations.Ensure secure handling and confidentiality of all patient information.Track unsigned physician orders and follow up appropriately.Conduct post-discharge chart audits and escalate concerns when identified.Support ongoing improvements to clinical records workflows and documentation processes.Assist with onboarding and coordination of medical records support personnel as needed.Required QualificationsEducationAssociate's or Bachelor's degree preferred.Equivalent healthcare operations or administrative experience will be considered.Experience2-3 years of experience in healthcare operations, medical office administration, care coordination, scheduling, or related healthcare support roles.Medical records or healthcare administrative experience required.Home health or hospice experience strongly preferred.Knowledge & SkillsExperience using HCHB and other HHH agency sysste.Excellent organization and multitasking abilities in a fast-paced environment.Professional verbal and written communication skills.Ability to work collaboratively with both clinical and non-clinical team members.Ability to prioritize competing responsibilities and meet deadlines.Adaptability in a changing healthcare environment.Basic reporting and spreadsheet skills.The employer for this position is stated in the job posting.
