South-Shore-Young-Mens-Christian-Association (SSYMCA) seeks a seasonal Holiday Assistance Program Coordinator to support 800+ kids with gifts, clothing, and family services. In-person role, mid-September through late December, 20–30 hours weekly, with evenings/weekends during peak season.

You will collect intake packets, register participants, coordinate gift catalogs, and work with partner agencies. Strong communication and organizational skills are essential; bilingual abilities are a plus.

Qualifications

  • Strong written and verbal communication skills.
  • Excellent organizational skills with attention to detail.
  • Computer experience with Microsoft Office; comfortable with tablets for intake/check-in.
  • Reliable transportation and ability to work in-person.
  • Bilingual a plus for non-English-speaking communities.

Responsibilities

  • Collect intake packets and register participants for the H.A.P.
  • Collaborate with partner agencies to assess family needs.
  • Manage adopt-a-family or child programs across branches.
  • Organize and catalog gifts for families and coordinate pickup/delivery.
  • Recruit organizations/individuals to adopt families and coordinate events.
  • Lead staff/volunteer scheduling for North Pole and delivery operations.
  • Assist in YMCA fundraising activities and community outreach.

A seasonal role which is perfect for a current employee looking to add some hours to their workweek within your Y. The Holiday Assistance Program Coordinator will work closely with other Yleadership staff for the registration and administration of our famous “Holiday AssistanceProgram” to support up to 800+ kids with holiday gifts, clothing, and additional support.This role will fill your heart with the Holiday Spirit!CORE EXPECTATIONS:Duration: Mid-September through late DecemberHours: 20–30 hours per week, with increased hours/evenings/weekends as the holidays approachPay: $19 hrPROGRAM COORDINATION, EXECUTION & DEVELOPMENTCollect intake packets and register participants for the H.A.P.Work with partner agencies to share family’s needs.Help manage the “adopt a family” or child program within the branches and communities we serve.Organize and catalog gifts for families at the North Pole Prior to pick up.Coordinate and facilitate pick up and / or delivery times with families that have been adopted.Recruit organizations and individuals to adopt a family or child.Work with staff and volunteers to fill a schedule of events at the North Pole and / or delivery service.STAFF ENGAGEMENT & DEVELOPMENTWorks directly with SSYMCA staff to ensure a successful Holiday Assistance Program. At times will act as the program lead in the absence of SSYMCA leadership.PARTICIPANTSHIP ENGAGEMENT & DEVELOPMENTBuilds and fosters relationships with and among organizations and individuals to take part in the program, by adopting a family or childBUDGET & FINANCIAL MANAGEMENTWorks within the budget determined by association leadership and / or staff. Will monitor expenses and make sure appropriate approval is given for all expenses.FACILITY MANAGEMENTWill work to maintain a clean and organized North Pole to allow for ease of access and use during the program.VOLUNTEER DEVELOPMENTBuilds and further develops volunteer capacity, sharing the social responsibility.COMMUNITY INVOLVEMENT & SUPPORTWill help assists in YMCA fund raising activities/events and engages in collaborative relationships with community organizations in order to strengthen support and build community.Passion to help others in the community.Strong written and verbal communication skills; comfortable speaking with families, donors, and community partners.Excellent organizational skills, with the ability to manage multiple family cases, schedules, and inventories simultaneously.Computer experience required: Microsoft Office Suite (Word, Excel), plus comfort using iPads and other tablets for intake and check-in.A basic knowledge of SGA operating system / the wiliness to learn.This is an in-person role requiring regular on-site presence at the branch and North Pole location(s).Flexibility in schedule as the holidays approach. Some evenings and weekends needed for pick up and drop off activities.The ability to develop positive, effective working relationships with, staff, volunteers, participants, community leaders and other agencies are critical to this position.Effective teaching skills, the ability to deliver leadership and a high level of enthusiasm are required.Attention to detail and reporting accuracy important given the volume of intake paperwork and gift cataloging for up to 400 families.Reliable transportation (and possibly a valid driver's license) if the role involves delivery coordination or site visits.Comfort with public-facing/customer service situations dealing with families, donors, and volunteers under sometimes emotional or high-pressure circumstances.Bilingual a plus (if your service area has a significant non-English-speaking population).PHYSICAL DEMANDSThe employee must occasionally lift and/or move up to 25 pounds. While performing the duties of this job, the employee is regularly required to stand; walk and talk and hear. The employee is occasionally required to sit; reach with hands and arms and stoop, kneel, or crouch.
