Job Summary

Rhode Island School of Design (RISD) seeks a Hiring Coordinator to join Continuing Education (CE). The role supports CE Talent Acquisition and Business Operations Analyst by overseeing administrative functions, recruiting, training, and managing all CE teaching assistants and Pre-College Monitors across the three CE verticals. The coordinator manages time card processes, payroll issues, expense reimbursements, and invoice payments, and collaborates with RISD Human Resources, Student Employment, Procurement, and Finance.

Essential Functions
  • Coordinate the recruitment, interviewing, and training of all CE Teaching Assistants (TAs) and Pre-College Monitors.
  • Collaborate with the CYP team to supply lists of TAs for large Pre-College events such as Check-In day and exhibitions.
  • Provide guidance, training, and instruction to TAs, Monitors, and volunteers as assigned.
  • Oversee onboarding, orientation, and substitute management for TAs.
  • Manage TA time cards and troubleshoot payroll issues.
  • Communicate and support all TAs and Monitors regarding hiring, onboarding, and payment questions.
  • Coordinate summer staff hiring and coordination under the direction of CE’s Talent Acquisition and Business Operations Manager.
  • Assist with institutional hiring procedures, backing up the CE instructor hiring process.
  • Participate in special projects to improve hiring, compensation, and employee processes in CE.
  • Assist with data entry, invoice initiation, expense reimbursement, and instructor onboarding communications as directed.
  • Reconcile monthly CE Teaching Assistant payroll reporting.
  • Perform other related duties as assigned.
Additional Functions
  • Be available for limited off‑hours during the Pre-College program (5 weeks July–August), including Sunday evenings 5–6pm and weekday mornings 7–8:30am to address TA absenteeism and substitute needs.
Qualifications
  • Associate degree or equivalent combination of education and experience.
  • Experience with databases and proficiency in relevant technology.
  • Experience in student hiring, training, and employment is preferred.
  • Demonstrated commitment to working with a diverse population of students, instructors, and staff.
  • Highly organized with the ability to manage long‑term planning and immediate problem‑solving simultaneously.
  • Meticulous attention to detail and discretion with confidential information.
  • Ability to anticipate needs, interpret and prioritize requests, and follow up as needed.
  • Innovative, solution‑oriented, and able to work independently and as part of a collaborative team in a fast‑paced environment.
Work Schedule and Status

35 hours per week; 12 months per year; full‑time, non‑exempt, hybrid eligible.
