Job summary

HOLT CAT in Irving, Texas seeks a motivated Customer Service Coordinator for a fast-paced shop environment. You will schedule, direct, and monitor service work to deliver Legendary Customer Service for our customers.

The role emphasizes collaborating with internal/external resources, maintaining accurate data entry for work orders and payroll, and ensuring timely communication and updates to customers and sales reps.

Qualifications

Working knowledge of computers and multi-line phone systems.
Knowledge of basic office practices, procedures, and processes.
Knowledge of Microsoft Office products (Word, Excel, Outlook) at a proficient level.
Excellent verbal, written, and communication skills.
Exceptional customer service skills.
Excellent interpersonal skills to establish working relationships across departments.
Functional knowledge of DBS, Service Link and MDS.
Functional knowledge of CAT applications SIS and SIMSi.
Time management and prioritization skills.
Ability to work on multiple projects and independently.

Responsibilities

Coordinate daily work in progress to meet department goals via prioritization and scheduling.
Enter daily labor hours accurately for timely work orders and payroll.
Communicate with customers, coordinators, and sales reps regarding scheduling, quoting, and repairs.
Ensure customer expectations for communication and updates are met.
Collaborate with parts and service staff to ensure smooth information flow and service delivery.
Coordinate and follow up to meet deadlines, job costs, quality, and invoicing.
Track machines in and out of service and monitor service history.
