Description

The Clinic Integration Specialist is responsible for leading the successful integration of newly acquired or newly developed healthcare clinics into the organization. This position serves as the primary project manager and operational leader for all integration activities, ensuring a seamless transition while maintaining uninterrupted patient care and regulatory compliance.

Working collaboratively with executive leadership and cross-functional departments, the Clinic Integration Specialist develops and executes integration plans that standardize clinical and business operations, align organizational culture, and achieve strategic growth objectives.

Responsibilities
Integration Leadership
  • Lead the operational integration of newly acquired or affiliated healthcare clinics.
  • Develop comprehensive integration plans, timelines, milestones, and project deliverables.
  • Coordinate activities across all departments to ensure timely execution.
  • Monitor project progress and proactively resolve barriers to successful integration.
  • Provide regular project updates to executive leadership.
Operational Standardization
  • Coordinate the implementation and standardization of organizational processes, including:
  • Clinical operations
  • Patient registration and scheduling
  • Revenue cycle and billing
  • Medical records
  • Purchasing and supply chain
  • Facilities management
  • Provider onboarding
  • Quality and patient safety initiatives
  • Ensure all clinic operations align with organizational policies, procedures, and performance expectations.
Human Resources Integration
  • Partner with Human Resources to:
  • Coordinate employee onboarding and orientation
  • Facilitate transition of compensation and benefits
  • Support organizational structure alignment
  • Communicate company policies and expectations
  • Assist with employee engagement and retention initiatives
  • Support leadership during organizational change
Information Technology Coordination
  • Partner with Information Technology to coordinate:
  • Electronic Health Record (EHR) implementation
  • Practice management system conversion
  • Hardware and software deployment
  • Network connectivity
  • Telecommunications
  • Cybersecurity compliance
  • User training and system readiness
Revenue Cycle & Finance
  • Collaborate with Finance and Revenue Cycle teams to:
  • Transition payer enrollment and credentialing
  • Standardize billing processes
  • Monitor financial performance during integration
  • Coordinate payroll implementation
  • Assist with vendor transitions
  • Support budgeting and operational reporting
Compliance & Risk Management
  • Ensure compliance with:
  • HIPAA Privacy and Security Regulations
  • OSHA standards
  • CMS requirements
  • State healthcare regulations
  • Accreditation standards
  • Corporate compliance policies
  • Coordinate readiness assessments and corrective action plans as needed.
Change Management
  • Develop communication strategies to support organizational change.
  • Facilitate meetings with clinic leadership and staff.
  • Identify potential resistance and implement strategies to encourage adoption.
  • Promote a positive culture throughout the integration process.
  • Serve as a trusted resource for leaders and employees during transitions.

Requirements
Required Qualifications
  • Bachelor's degree in Healthcare Administration, Business Administration, Health Services Administration, or a related field.
  • Five (5) or more years of progressive healthcare operations experience.
  • Three (3) or more years of project management or operational leadership experience.
  • Experience leading multidisciplinary teams.
  • Experience managing organizational change.
  • Strong project management and organizational skills.
  • Excellent leadership and interpersonal communication abilities.
  • Knowledge of ambulatory healthcare operations.
  • Understanding of healthcare reimbursement and revenue cycle management.
  • Knowledge of HIPAA, OSHA, CMS, and healthcare regulatory requirements.
  • Strong analytical and problem-solving skills.
  • Ability to manage multiple projects simultaneously.
  • Excellent conflict resolution and change management skills.
  • Proficiency with Microsoft Office Suite and project management software.
  • Ability to influence without direct authority.
  • Ability to travel within assigned region regularly
  • Valid driver's license
  • Acceptable driving record (subject to motor vehicle record check)
  • Must maintain required auto insurance
Physical Requirements
  • Frequent travel between clinic locations (up to 50%)
  • Occasional evening or weekend work during major integrations
  • Combination of office, clinical, and remote work environments
  • Ability to travel to clinic locations as needed
  • Ability to sit, stand, and walk for extended periods
  • Ability to lift up to 25 pounds occasionally
  • Ability to use standard office equipment and computer systems
