Find Great People | FGP is seeking an Executive Assistant to provide high-level administrative and project support to the senior leadership team. You’ll partner with leaders to manage priorities, coordinate strategic initiatives, and ensure efficient execution in a fast-paced setting.

You will handle calendars, travel, communications, and board-related planning while maintaining confidentiality and driving operational excellence across the organization.

Qualifications

  • Bachelor’s degree in Business Administration, Communications, Human Resources, or related field, or equivalent experience.
  • 3–5+ years of executive support, project coordination, or business operations experience.
  • Experience in healthcare industry or healthcare services environment.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams).
  • Familiarity with AI-powered tools and automation technologies to boost productivity.
  • Ability to handle confidential information with discretion.
  • Strong attention to detail and problem-solving abilities.

Responsibilities

  • Prepare agendas, presentations, reports, and briefing materials.
  • Coordinate travel arrangements and expense reporting.
  • Screen and prioritize communications and requests.
  • Assist with planning, tracking, and execution of strategic initiatives.
  • Monitor project timelines, deliverables, and action items.
  • Follow up with leaders and stakeholders to ensure commitments are met.
  • Coordinate leadership meetings and support board meetings and executive offsites.
  • Capture meeting notes, decisions, and actions.
  • Draft internal communications and executive updates.
  • Maintain confidentiality of sensitive information.
  • Develop processes to improve operational efficiency.
  • Assist in creating dashboards, reports, and performance metrics.
  • Coordinate special projects and research tasks.
  • Support change management and organizational initiatives.
  • Build positive relationships across all levels.
  • Provide responsive support to internal and external stakeholders.
  • Oversee corporate office facilities once a permanent location is established.

The Executive Assistant provides high-level administrative, operational, and project support to the senior leadership team. This role serves as a trusted partner, helping manage priorities, coordinate strategic initiatives, facilitate communications, and ensure efficient execution of organizational objectives. The ideal candidate is highly organized, proactive, discreet, and capable of managing multiple priorities in a fast-paced environment.

The successful candidate possesses exceptional organizational skills, sound judgment, business acumen, executive presence, and the ability to manage sensitive and confidential information.

Key Responsibilities

  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams).
  • Familiarity with AI-powered tools, automation technologies, and emerging workplace technologies, with the ability to leverage them to improve productivity and efficiency.
  • Ability to manage confidential information with discretion.
  • Strong attention to detail and problem-solving abilities.
