Qualifications

• Strong written and verbal communication skills required.

• Proficiency with Microsoft Office (Excel, Word, Outlook).
• Experience with construction management or accounting software is a plus.

Responsibilities

• Work directly with Project Managers to support day-to-day coordination and administration of active construction projects.
• Take ownership of project-related tasks and documentation to alleviate administrative workload.
• Assist with project setup, tracking, documentation, and closeout.
• Coordinate and maintain project compliance documentation and ensure information remains current.
• Support the project billing process, including preparing and submitting billing docs to owners.
• Assist with tracking project costs, billing information, and related financial docs.
• Maintain organized project files, contracts, correspondence, and records.
• Assist with subcontractor and vendor documentation and compliance requirements.
• Support tracking and coordination of submittals, RFIs, change documentation, and other project correspondence.
• Assist with meeting coordination, documentation, reporting, and follow-up items.
• Communicate with subcontractors, vendors, clients, and internal teams to gather information and keep docs moving.
• Coordinate and manage project closeout documentation and packages.
• Help ensure project documentation and admin requirements are completed accurately and on schedule.
• Take on additional coordination responsibilities as needed.
