Position Summary

The Health Services Administrative Assistant will handle clerical, secretarial, and receptionist duties for the Director of Health Services and Nursing Administration. They will operate with initiative and independent judgment.

Essential Job Functions:
  • Support nursing leadership with administrative tasks.
  • Manage calendars, meetings, and appointments.
  • Prepare correspondence, reports, agendas, and presentations.
  • Assist with staffing schedules and timekeeping in absence of the Nursing Scheduler.
  • Maintain confidentiality in accordance with HIPAA and policies.
  • Record minutes and coordinate departmental meetings.
  • Handle phone calls and direct messages.
  • Act as a liaison between nursing and other hospital departments.
  • Order and maintain office and nursing supplies.
  • Coordinate appointments and scan consult notes as needed.
  • Communicate professionally with staff, residents, and families.
  • Maintain logs and reports for audits and inspections.
  • Perform additional administrative duties as assigned.

Qualifications:

2-5 years of relevant experience, A.A.S. degree, good interpersonal skills, ability to work independently.

Conditions of Employment:

Work in a well-lit, home-like nursing home setting. Must meet health requirements and be able to perform essential functions, with accommodations if necessary.
