Job summary

Gateway Community & Technical College is seeking a Health Professions Work-Based Learning Coordinator to centrally coordinate clinical and healthcare WBL placement processes aligned with student pathways.

You will engage with faculty, healthcare providers, and community partners to ensure onboarding, compliance, scheduling, and workforce-readiness activities while supporting academic and career pathway navigation.

Qualifications

  • Bachelor's degree or equivalent and 4–6 years of relevant experience.
  • Ability to coordinate clinical and healthcare work-based learning placements and onboarding processes.
  • Knowledge of healthcare placement and compliance requirements (background checks, immunizations, etc.).
  • Ability to manage multiple placement timelines, student records, and partner communications with accuracy and confidentiality.
  • Ability to collaborate with Health Professions faculty, program coordinators, healthcare agencies, and students.

Job Summary

The Health Professions Work-Based Learning Coordinator supports Gateway’s Health Professions programs through centralized coordination of clinical and healthcare Work-Based Learning placement processes aligned with students’ academic pathways. The position coordinates student participation in clinical and healthcare Work-Based Learning opportunities through placement support, onboarding and compliance coordination, healthcare partner engagement, operational systems management, academic and career pathway navigation, and workforce-readiness development. This centralized support model improves operational consistency across programs and reduces the administrative burden on faculty and program coordinators.

Job Duties
  • Health Professions WBL Coordination & Participation Support:
  • Coordinates clinical and healthcare Work-Based Learning placement processes for Health Professions students across assigned programs.
  • Collaborates with faculty, program coordinators, healthcare agencies, and community partners to support placement assignments, onboarding, scheduling, clinical and healthcare WBL participation, and workforce partnership activities.
  • Monitors placement timelines, agency capacity, onboarding requirements, and participation processes related to Health Professions WBL pathways.
  • Career Coaching & Student Support:
  • Supports students with onboarding, Work-Based Learning participation requirements, workplace readiness, and career-connected learning preparation related to Health Professions pathways.
  • Assists students with professional expectations, communication standards, transition-to-employment preparation, and onboarding requirements, including background checks, drug screens, immunizations, titers, CastleBranch, and agency-specific compliance expectations.
  • Supports student engagement, participation follow-up, academic advising support, academic and career pathway navigation, educational planning support, resource connection, and workforce-readiness development.
  • Program faculty retain responsibility for final course-level verification and approval before clinical participation.
  • Healthcare Partner, Classroom, & Event Engagement:
  • Serves as a liaison between Gateway and healthcare/community partners supporting Health Professions WBL pathways.
  • Maintains communication regarding placement availability, onboarding requirements, scheduling processes, agency expectations, advisory-board participation, and partnership activities; assists with developing new placement relationships as needed.
  • Coordinates workshops, informational sessions, onboarding support activities, workforce-readiness programming, recruitment events, and student engagement initiatives related to Health Professions WBL participation.
  • Operational Systems, Compliance Documentation, & Outcomes Tracking:
  • Coordinates Memoranda of Agreement (MOA) initiation, tracking, renewal timelines, and related documentation processes; coordinates with KCTCS and the Business Office as needed.
  • Maintains records related to placements, onboarding activities, agency partnerships, compliance processes, participation outcomes, and workforce engagement activities.
  • Supports compliance systems and departmental technologies, institutional reporting for division leadership and programs, outreach initiatives, workforce partnership engagement, and operational effectiveness activities related to Health Professions WBL participation.
  • Other duties as assigned.
Minimum Qualifications
  • Bachelor's degree or equivalent and 4 to 6 years of relevant experience
  • Ability to coordinate clinical and healthcare work-based learning placements, student onboarding activities, and related documentation processes.
  • Knowledge of, or ability to learn, healthcare placement and compliance requirements, including background checks, drug screens, immunizations, titers, CastleBranch, and agency-specific onboarding expectations.
  • Ability to manage multiple placement timelines, onboarding requirements, student records, and partner communications with accuracy and confidentiality.
  • Ability to collaborate effectively with Health Professions faculty, program coordinators, healthcare agencies, employers, students, and institutional departments.
  • Ability to support students with professional expectations, workplace readiness, career and academic pathway navigation, and transition-to-employment preparation.
  • Ability to coordinate healthcare partner engagement, informational sessions, workshops, and student-support activities.
  • Detail-oriented, self-motivated, ability to work independently and adapt seamlessly to fast-paced, dynamic environments.
  • Skilled in engaging and supporting students from different cultural and socioeconomic backgrounds.
  • Excellent verbal and written communication skills.
  • Proven ability to manage multiple priorities effectively and meet tight deadlines.
  • Proficient in Microsoft Office (Excel, Forms, Outlook, Teams, SharePoint, Word)
Preferred Qualifications
  • Experience in healthcare education, clinical coordination, healthcare administration, workforce development, Work-Based learning, advising, student services, or higher education.
  • Experience coordinating clinical placements, student onboarding, compliance processes, agency agreements, or healthcare-partner relationships.
  • Experience using onboarding, compliance, student-engagement, scheduling, reporting, or data-tracking systems, including CastleBranch or similar platforms.
  • Experience supporting healthcare career pathways, career-connected learning, or workforce-readiness initiatives.
  • Previous experience in a community college setting
