Summary:
This position provides comprehensive administrative and operational support for the Nursing, Nurse Aide,Medical Assisting, and Dental Assisting programs. Also serves as a central resource for students, faculty,clinical partners, and the Associate Dean, ensuring the efficient coordination of program activities, compliance requirements, clinical education processes, and student support services. The HealthOccupations Office Associate contributes to the success of the Health Occupations division bymaintaining accurate records, facilitating communication, facilitating events, coordinating schedules,supporting accreditation and regulatory requirements, and promoting a positive and responsiveeducational environment.
Job Responsibilities:
- Provide comprehensive administrative support to the Associate Dean,program directors, faculty, and staff within the Nursing, Nurse Aide, MedicalAssisting, and Dental Assisting programs.
- Serve as the primary point of contact for students, faculty, healthcarepartners, and community stakeholders, responding to inquiries and directingrequests appropriately.
- Coordinate and maintain student records, program files, clinicaldocumentation, and other confidential records in compliance withinstitutional policies and applicable regulations.
- Manage program communications, including correspondence,announcements, meeting schedules, class calendars, and distribution ofinformation to students and faculty.
- Coordinate student admission, onboarding, progression, and graduationprocesses for Health Occupations programs.
- Support accreditation, regulatory, and program review activities bymaintaining documentation, preparing reports, and assisting with datacollection and record organization.
- Schedule and coordinate meetings, program events, orientations, AdvisoryBoard meetings, and special activities for Health Occupation programs.
- Generate, compile, and maintain program data and reports related toenrollment, retention, completion, accreditation, and other key performanceindicators.
- Track expiration dates and coordinate the review, renewal, and distributionof contracts and affiliation agreements.
- Develop and maintain effective working relationships with students, faculty,staff, clinical partners, and community stakeholders.
- Assigns, prioritizes, and monitors work activities of the .75 FTE HealthOccupations Office Associate; provides training and guidance to ensuretimely and accurate completion of departmental functions.
- Perform other related duties as assigned to support the goals, operations,and mission of the Health Occupations division.
Education and Experience:
Completion of HS or equivalent required. Associate’s degree preferred. Previous office supportexperience preferred.

Abilities:
- Excellent verbal, written, and interpersonal communication skills.
- Knowledge of customer service principles and practices.
- Strong organizational and time management skills with the ability to manage multiple prioritiesand deadlines.
- Advanced proficiency in Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, andTeams.
- Skilled in coordinating complex schedules, meetings, events, and projects
- Effective problem-solving and critical-thinking skills
- Skilled in training, mentoring, and delegating work assignments to support staff
- Ability to maintain strict confidentiality and exercise sound judgment when handling sensitiveinformation.
- Ability to interpret, apply, and explain college policies, procedures, and regulatory requirements.
- Ability to work independently with minimal supervision while exercising initiative and accountability.
Base Wage:
$13.62-$18.16 hourly -actual salary will be based on experience and education.
