Job summary

Vox Media seeks an experienced Manager, Workplace (Facilities) to lead the day-to-day operations of our New York City office. You will oversee a small team of staff and contractors, coordinating with the Head of People to keep spaces welcoming, functional, and responsive to employee needs.

The role focuses on NY headquarters with remote coordination for Washington, DC, and involves planning moves, space reconfigurations, budgets, and vendor management to ensure a productive work environment.

Qualifications

• Experience managing people, including direct reports and/or contract staff.
• Experience managing workplace operations in HQ or multi-site office environment.
• Strong operational and organizational skills; manage multiple priorities.

Responsibilities

• Oversee daily workplace operations, ensuring the office is well-maintained and productive.
• Manage a team of full-time, temporary, and contract staff; scheduling and timesheets.
• Own NY workplace operations; coordinate with vendors and building management.
• Establish workplace processes and operating standards for consistent service.
• Manage budgets, POs, invoices, and vendor payments with Finance.
• Coordinate access, maintenance, and building policies with management.
• Ensure safety and compliance; conduct regular checks.
• Coordinate during workplace incidents or crises for timely communication.
• Support space planning and stakeholder requests while balancing efficiency.
• Lead projects: moves, reconfigurations, vendor implementations from planning to execution.
• Plan workspace needs with business leaders balancing experience and space usage.
