Job summary

The Urology Group is seeking a Director, Patient Access and Surgery Scheduling Operations to lead centralized call center and scheduling teams in Cincinnati. You will oversee workflow from scheduling requests to patient communication, ensuring service levels, accuracy, and provider satisfaction.

Responsibilities include staffing, training, performance management, and continuous improvement while aligning with HIPAA and payer requirements.

Qualifications

• High school diploma or equivalent is required; an associate or bachelor’s degree in healthcare administration, business administration, or related field is preferred.
• Experience coordinating with physicians, clinical staff, hospitals, and billing departments is preferred.
• Strong understanding of HIPAA, patient confidentiality, patient service standards, and healthcare compliance requirements.

Responsibilities

• Provide operational leadership for centralized call center and surgery scheduling functions.
• Lead daily operations through supervisors, with accountability for work queues, staffing, coverage, service levels and team performance.
• Establish consistent operating cadence with daily workload reviews, team huddles, performance reviews, and escalation of barriers.
• Recruit, onboard, coach, develop, and evaluate supervisors and staff; address performance concerns with HR as needed.
• Maintain staffing and cross-coverage plans, including remote and on-site operations; ensure trained schedulers can continue work during absences.
• Monitor scheduling quality and execution for appointments and procedures; ensure readiness and accuracy.
• Standardize end-to-end workflow from scheduling request to case confirmation and patient communication.
• Create and maintain department dashboards; provide routine operating reports and quarterly physician reports.
