Job summary

Expa Affiliate is seeking an Operations Manager who treats operations as a product and builds the infrastructure for a small, multi-project team. You will own fund/program operations, financial reviews, and insurance, while coordinating with legal and external counsel.

You’ll lead onboarding, vendor setup, and weekly operating rhythms, with a strong emphasis on independence, judgment, and discretion. Remote-ready in the US with travel to LA as needed.

Qualifications

• 4-8+ years in operations, chief of staff, or program management within venture funds, PE, accelerators, or startups.
• Ability to move without explicit queues and make timely, informed decisions.
• Comfort operating in ambiguity and writing processes when none exist.
• Read monthly P&L and manage budgets with outside accountants.
• Experience with entity administration, registrations, and insurance.

Responsibilities

• Fund & program operations: support fundraising, investor tracking, program budgets, and payment milestones.
• Founder support: help early-stage companies get spun up and meet timelines.
• Financial review and budget: review monthly financials and keep budgets current; update opex.
• Insurance: manage end-to-end insurance for projects and entities with brokers.
• Operating rhythm: own agendas for weekly operations meetings, pipeline reviews, and monthly business reviews.
• Project onboarding/offboarding: set up tools and accounts; support close-outs.
• Legal coordination: liaise with external counsel on trademarks, terms, and NDAs.
• Entity and vendor setup: handle registrations and third-party services.
• Check-ins and escalation: meet project leads and surface needs to leadership.
• First point of contact: be the go-to person for teams.
• Events and programming: plan and run events and professional development.
