Part-Time Head of Finance

The Role
As our Head of Finance, you'll be responsible for the day-to-day and strategic running of the finance function, leveraging AI tools and automated invoicing systems to drive efficiency. You'll keep our books accurate and up to date in Xero, make sure our team is paid correctly and on time, prepare clear financial reports that support decision-making, and manage the year-end process.
This role suits someone who is confident working independently, enjoys the variety of a small business environment, and can turn numbers into practical insight.
Key Responsibilities
Monthly Payroll
- Process the monthly payroll accurately and on time, including starters, leavers, and changes to pay
- Manage PAYE, National Insurance, pension auto-enrolment, and other statutory deductions
- Submit RTI returns to HMRC and ensure all payroll deadlines are met
- Maintain confidential and accurate payroll records
Reconciliation
- Carry out regular bank, credit card, and payment platform reconciliations in Xero
- Reconcile supplier and customer accounts, resolving discrepancies promptly
- Maintain balance sheet reconciliations, including VAT, payroll, and accruals
- Keep the ledgers clean, accurate, and up to date
- Implement and oversee AI-driven automated invoicing systems to streamline billing, reduce manual entry, and optimize cash flow management
Financial Reporting
- Prepare monthly management accounts, including profit and loss, balance sheet, and cash flow
- Produce clear reports and commentary for the leadership team, highlighting trends, risks, and opportunities
- Support budgeting, forecasting, and cash flow planning
- Prepare and submit VAT returns under Making Tax Digital
Year-End Accounts
- Lead the year-end process, preparing the accounts and supporting schedules
- Act as the main point of contact for our external accountants and auditors
- Ensure compliance with statutory filing deadlines, including Companies House and HMRC
- Support corporation tax preparation and submissions
General
- Review and improve financial processes and controls
- Make the most of Xero and integrated apps to streamline workflows
- Advise the business on financial matters as needed
About You
Essential
- Proven experience running the finance function in a small or medium-sized business
- Xero trained and highly proficient (Xero certification preferred)
- Strong experience of payroll processing, including RTI and pension auto-enrolment
- Confident preparing management accounts and year-end accounts
- Solid working knowledge of VAT, PAYE, and UK financial compliance
- Excellent attention to detail and a high level of accuracy
- Able to work independently, manage your own time, and meet deadlines
- Clear communicator who can explain financial information to non-finance colleagues
Desirable
- Qualified or part-qualified accountant (ACCA, CIMA, ACA, or AAT)
- Experience with Xero-integrated apps (e.g. Dext, Xero Payroll, or similar)
- Experience improving systems and processes in a growing business
- Knowledge or hands-on experience with AI tools and automated invoicing systems for financial workflows
- Real Estate background a positive
