Job description

JOB SUMMARY:

To manage, coordinate, and directly support the administrative and business management, and/or staff activities within a Human Resources Department. Ability to perform tasks and responsibilities on own initiative ensuring process and operational continuity of various administrative and business management activities.

ESSENTIAL JOB FUNCTIONS:
  1. Manage UTMB External/Internal Payroll - biweekly.
  2. Serve as the subject matter expert on issues regarding Internal/External payroll; answer questions.
  3. Provide customer service to customers and departments.
  4. Audit internal/external timecards for department float and missed punches.
  5. Process Time Adjustment Forms and Historical Edits.
  6. Reconcile time in Kronos with All HCSS Contract Hours Report; review the report to identify errors in job codes and balance hours worked each day.
  7. Notify employees and managers via email of potential timecard errors.
  8. Process non-PO vouchers and Paycom remittance.
  9. Distribute vendor statements for external vendors.
  10. Submit time detail reports for external vendors.
  11. Provide follow-up on sensitive issues regarding customers and candidates.
  12. Adhere to internal controls and reporting structure.
MARGINAL OR PERIODIC JOB FUNCTIONS:
  • Perform related duties as required.
KNOWLEDGE/SKILLS/ABILITIES:
  • Developing partnership and general understanding of the customer’s business and current issues.
  • Strong communication skills, both oral and written.
  • Developing presentation and facilitation skills.
  • Basic to moderate level of impact and influence with customers.
  • Moderate analytical and problem-solving skills.
  • Competent use of personal computers and general office applications, including Word, Excel, PowerPoint, and Microsoft Outlook.
  • Demonstrated initiative in developing leadership and supervision skills.
  • Ability to multi-task and prioritize.

*This is a contract position through HealthCare Systems Staffing (HCSS). Although there are no UTMB benefits associated with this position, employees have the opportunity to participate in the 401k retirement plan.

REQUIRED EDUCATION / EXPERIENCE:

Associates degree or equivalent and 2 years of office-related experience.

Salary is commensurate with experience.

EQUIPMENT:

Standard office equipment.

WORKING ENVIRONMENT/LOCATION OF POSITION:

Standard office environments.
