Job summary

Forest Home Christian Camps is seeking a Reservations Specialist to manage year-round registration and reservations for program guests. You will deliver excellent customer service, maintain accurate data in reservation systems, and support church partners throughout event planning.

You will collaborate with Operations, Program Directors, and the Partnerships Team to ensure a high-quality guest experience and the fulfillment of Forest Home’s mission.

Qualifications

• 3+ years of experience in guest services, reservations, event coordination, or related field.
• Strong interpersonal communication skills and commitment to hospitality.
• Highly organized with excellent attention to detail and follow-through.
• Proficient in CRM, registration, or reservations software.
• Ability to manage multiple deadlines in a dynamic environment.
• Preferred: experience in a camp, retreat center, or ministry environment.

Responsibilities

• Assist church partners and families with reservations by answering inquiries, providing availability information, and gathering required forms and documentation.
• Maintain accurate reservation and guest information in the Reservations System, CRM tools, and project tracking platforms.
• Create and update itineraries, reports, communication logs, forms, and financial documents with accuracy and confidentiality.
• Process required paperwork, including medical consent forms and campership applications.
• Prepare weekly checklists to ensure event readiness and departmental alignment.
• Review and reconcile reservation records prior to event execution.
• Serve as the primary point of contact for church leaders, families and guests, providing timely, professional communication.
• Respond to emails and calls by the next business day with accurate information.
• Train and guide group leaders through the reservation process.
• Maintain a gracious, service-oriented attitude in interactions.
• Prepare guest check-in materials and conduct on-site check-in for groups and weekend events.
• Follow up with group leaders to ensure balances are paid promptly.
• Create church rosters and coordinate housing logistics and key distribution.
• Ensure compliance with cash-handling and financial procedures.
