Job summary

Key Heating & Cooling is seeking a creative Marketing & Sales Coordinator to grow our customer base, generate leads, and support the sales cycle. You’ll handle social media, video content, events, email marketing, maintenance program marketing, and appointment coordination.

You will assist with website content, SEO basics, and Google Business Profile while maintaining an organized marketing calendar and tracking lead sources and conversions.

Qualifications

• Experience with social media, marketing, customer service, or sales coordination.
• Can create short videos and basic digital content.
• Confident communicating with customers by phone, text, and email.
• Strong writing and verbal communication skills.
• Organized and able to manage multiple leads, appointments, campaigns, and follow-up tasks.
• Willing to learn ServiceTitan, including Marketing Pro and lead/estimate management.
• Basic knowledge of Google Business Profile, SEO, websites, or digital advertising is a plus.
• Experience with Canva, CapCut, or similar content-creation tools is a plus.
• HVAC/home service or inside sales experience is a plus but not required.

Responsibilities

• Marketing Responsibilities: Create and schedule social media posts for platforms; Create short-form videos; Visit sites/events for photos/videos; Manage email campaigns via ServiceTitan Marketing Pro; Assist with website content and basic SEO; Create marketing materials; Maintain a marketing calendar; Research events and sponsorships; Plan and attend company/community events; Track campaign and lead effectiveness.
• Sales Coordination and Estimate Follow-Up: Respond to incoming leads; Coordinate appointments; Confirm appointment details; Monitor open estimates and follow up via phone/text/email; Answer questions and explain next steps; Identify customers ready to move forward and schedule with teams; Maintain accurate notes in ServiceTitan; Ensure opportunities aren’t missed; Assist with re-engagement campaigns; Coordinate promotions and track results; Communicate with sales/management about opportunities and feedback.
• Maintenance Agreement and Customer Retention Responsibilities: Promote maintenance program; Manage renewals, reminders, and follow-ups; Keep customers informed and engaged with teams; Create promotions to increase enrollment; Track leads, enrollments, renewals, cancellations, and results; Create customer-facing materials explaining benefits; Improve membership value and long-term retention; Reconnect with past customers to encourage repeat business.
