Job summary

Holiday Inn Club Vacations Incorporated is seeking a Group Coordinator in Florida to support Rental Operations by providing complete group information, maintaining group accounts, and coordinating with resorts for smooth group arrivals.

You will handle inquiries from multiple channels, manage contracts and payments, and contribute to revenue growth through effective group sales support. Strong organizational and communication skills are essential.

Qualifications

• High school diploma required, and college degree preferred.
• Associate degree in Hospitality Management/Business Administration and/or 2-3 years of experience and/or equivalent combination of education and experience.
• 2-3 years of Group coordinator experience.
• Excellent communication skills including written communications, speaking and presentation development and delivery.
• Strong decision making and problem resolution skills.
• Ability to multi-task and work under multiple deadlines.
• Ability to work as a team and be part of a dynamic team environment.
• Possesses strong organizational skills.
• Highly motivated who gets things done with minimal guidance.
• Must have desire to learn, and ability to master new systems and tools.
• Ability to work well with other team members and cross-functional teams.
• Expert level experience required for: Microsoft Office (especially Microsoft Excel, Word and PowerPoint).

Responsibilities

• Coordinate with assigned group accounts by ensuring accuracy of rooms entered into the PMS System, collecting payment, processing rooming lists, managing cutoff dates and payment deadlines, working with group leaders for special requests, increasing allotment pickup, and communicating with resort operations to prepare for group arrival.
• Receive and process group inquiries from Brand website, Meeting Broker, HotelPlanner, Department phone line and Groups inbox.
• Manage assigned projects through duration and completion, including lead generation and SOP documentation.
• Support Rental Sales and coordinate with Rental Sales Managers to grow rental revenue and perform other tasks as needed.
