Job summary

Omni Richmond Hotel is seeking a Group Rooms Coordinator to ensure efficient handling of all group bookings and support the Reservations Manager in daily operations. You will maintain accurate group room blocks, monitor arrivals and billing, and coordinate with the Convention Service Manager and clients to resolve issues.

The role requires experience in luxury hotel customer service and proficiency with Opera PMS, Delphi/ORS, and related tools.

Qualifications

• Experience in Luxury hotel reservations or customer service.
• Proficient with Opera PMS and Delphi/ORS.
• Familiar with Passkey, NomadixCMS and iMeeting Planner.
• Excellent communication and highly organized.
• Ability to manage 50–60 future groups.

Responsibilities

• Review group blocks for cut off date extensions, and ensure they are created and monitored correctly.
• Attend weekly group pickup meetings.
• Run group arrivals lists daily for future arrival dates and no-show reports.
• Check for duplicate reservations and verify guest names and special requests.
• Check for group reservation errors and contact caller to verify information.
• Report to the Reservations Manager and the Director of Revenue Management.
• Coordinate with the Convention Service Manager and group clients on changes and billing.
• Complete Group Commission Report after group departure.
• Monitor room type availability daily.
• Monitor non-guaranteed reservations daily and cancel when needed.
• Create and maintain group and transient room blocks with correct billing.
• Complete competition rate analysis as needed.
• Take in-house reservations calls from customers and OmniRez agents.
• Monitor Internet and FIT bookings, availability, and billing.
• Assist in VIP and internal reservations and communicate issues to supervisor.
• Assist in fax and email reservations.
• Research outstanding Travel Agent Commissions for groups.
• Research and charge for all no-shows, cancellations, and deposits.
