- Adhere to all standards of operations, policies and procedures, manuals, training material, memos, and verbal instruction
- Negotiate and prepare event agreements and contracts with clients for all events booked using established guidelines
- Advise clients on menu + beverage selections, room assignments, design, and set-up
- Maintain knowledge of all menus (including daily specials, alternative cuisine, beverage lists, etc) and service of food and beverage items offered by the outlet(s).
- Create proposals, banquet event orders + invoices and distribute accordingly in a timely and efficient manner
- Enter event details into the outlet’s reservation platform
- Review upcoming BEOs to ensure all final details are collected such as menu, timeline, sign instructions, etc.
- Assist with last-minute requests (guest count changes, updating BEO and reservation systems, communicating with teams to keep them updated, etc.)
- Ensure the culinary team is set up to execute all private and group dining events you book to ensure guest expectations are met and that the event runs smoothly and efficiently
- Assist with site visits, pre-event and on-site communication with clients
- Follow up with clients to assure quality of event, solicit next event, and source referrals
- Run monthly revenue reports to determine food and beverage minimums
- Attend relevant meetings and assist with working + managing event shifts as needed
- Assist respective teams with phone support, staff duties or training, creating meeting agendas, etc.
- Assist in the development and implementation of special projects as assigned
- Assist the Marketing Team with new initiatives based on client feedback and knowledge of the outlets goals and standards
- Promote and encourage guest name recognition at all times with both internal and external guests
- Assist in any offsite events including charitable and marketing events
- Ensure open lines of communication with all departments and upper management at all times via email, logbooks, meetings, etc., to ensure all needs of the outlet are met
