Job summary

NDM Hospitality Services is seeking a Group Sales & Catering Events Billing Coordinator responsible for managing all billing-related processes for group sales, meetings, conferences, weddings, social events, and catering functions. You will coordinate with Sales, Catering & Events, Accounting, Front Office, and clients to ensure accurate and timely invoicing and revenue recognition.

The role focuses on deposits, payment verification, routing setup, folio auditing, and final invoice generation

Qualifications

• Minimum 2 years of experience in hospitality accounting or hotel front office operations.
• Experience with group billing, convention services, or catering operations preferred.
• Proficiency in Microsoft Excel with formulas, reconciliations, and reporting.
• Experience with property management systems (Opera, Opera Cloud) and catering/event platforms.

Responsibilities

• Manage all billing activities related to group room blocks, meetings, conferences, corporate groups, weddings, and events.
• Review contracts and BEOs to ensure billing instructions are documented.
• Coordinate billing details between Sales, Event Managers, Front Office, and Accounting.
• Process and track deposits, payments, and postings.
• Audit routing instructions and ensure accurate charges.
• Generate final invoices and master folios after events.
• Prepare reports on outstanding deposits, invoices, and aging balances.
