Job description

Johns Hopkins, founded in 1876, is America's first researchuniversity and home to nine world-class academic divisions workingtogether as one university.

The Pathology Department is seeking a Grants & ContractsSpecialist to provide entry level sponsored funds managementfor more than 80% of time with specific responsibility forpre-award and post-award functions that includes, but may not belimited to: proposal preparation, budget development, accountmaintenance and oversight, billing/invoicing, reporting, andcloseout. This role may manage less complex grants through the submission stage, with some oversight and direction. The primarygoal of this position is to support the timely, effective andefficient management of sponsored funding; this role may alsoassist with aspects of non-sponsored funds (general funds andgifts) management.

The specialist works independently on less complex grants andcontracts, using general proficiency with grant/contractpreparation and management. The specialist has some involvementwith more complex grant management under the direction andoversight of a more senior member of the team.

Types of sponsored awards for which the position is responsiblerange from simple to moderately complex grants/contracts, includingthose from NIH, NSF, DOD and NASA. Awards may involve moderatebudgets, foundation grants and subawards from other institutions ontheir federal pass-through grants.

Specific Duties & Responsibilities
  • Partner with departmental faculty and/or budgetary staff on theplanning and development of application submissions to variousfederal offices, private agencies/foundations and commercialcompanies.
  • May work with representatives from ORA, under the guidance ofmore senior members on the departmental research team.
  • Understand and utilize institutional policies for pre-awardgrant process and sponsor guidelines.
  • Review sponsored project proposals for assigned grants ofmoderate complexity, prior to them being forwarded to the Grants& Contracts Manager and ORA for signature. Review involvesaccuracy, content, and adherence to relevant guidelines.
  • Provide instruction, preparation assistance and support relatedto application procedures, at the direction of the Sr. Grants &Contracts Analyst and/or Grants & Contracts Manager.
  • Serve as liaison between research units, central offices andfunding agencies for grants of moderate complexity.
  • Review budgets and related justification for appropriatenessand completeness of content. Ensure that all applicable andindirect costs have been applied.
  • Ensure compliance in areas related to grant and contractmanagement, including sponsoring organization guidelines, internalprotocols, accurate protocol information within documents,conflicts of interest, etc.
  • Coordinate related details for all assigned grant submissionsto ensure timeliness and accuracy.
  • Maintain ongoing updates and communications related to currentgrants and contracts, including regular auditing and reporting toprincipal investigators and research management.
  • May assist with closeouts as needed.
  • Assist with award setup details after grant number isassigned.
  • Support all relevant post-award responsibilities, as requestedby senior members of the grants & contracts team, includingaccount reconciliation, effort reporting, cost transfers, payinginvoices, closeouts and related faculty support.
  • Other duties as assigned.
Minimum Qualifications
  • Bachelor's Degree.
  • Additional education may substitute for required experience andadditional related experience may substitute for required educationbeyond a high school diploma/graduation equivalent, to the extentpermitted by the JHU equivalency formula.
Preferred Qualifications
  • One year of administrative/budgeting experience.
  • General knowledge and understanding of The Johns HopkinsUniversity accounting system and related fiscal officespreferred.

The pre-employment physical for positions in clinical areas,laboratories, working with research subjects, or involvingcommunity contact requires documentation of immune status againstRubella (German measles), Rubeola (Measles), Mumps, Varicella(chickenpox), Hepatitis B and documentation of having received theTdap (Tetanus, diphtheria, pertussis) vaccination. This may includedocumentation of having two (2) MMR vaccines; two (2) Varicellavaccines; or antibody status to these diseases from laboratorytesting. Blood tests for immunities to these diseases areordinarily included in the pre-employment physical exam except forthose employees who provide results of blood tests or immunizationdocumentation from their own health care providers. Anyvaccinations required for these diseases will be given at no costin our Occupational Health office.
