Job Description

The Department of Pathology and Laboratory Medicine is seeking a Grants and Financial Coordinator or Specialist for its Research Administration team. The position will provide administrative pre‑ and post‑award and financial services in support of the department’s sponsored research.

Responsibilities
  • Coordinate the preparation and review of new and continuing grant proposals using the Huron grant management system and sponsor submission portals.
  • Provide pre‑ and post‑award financial management, including budget oversight, expenditure review, financial reporting, and training.
  • Monitor departmental finances and reconcile accounts in accordance with federal and non‑federal guidelines for principal investigators, department chairs, and managers.
  • Communicate award and financial policies to students, faculty, and staff.
  • Use Workday Financials to administer/approve payroll costing, salary reallocations, effort certifications, summer salary, cost shares, cost transfers, journal entries, financial reporting, subcontract requisitions, and expense approvals as cost‑center manager.
  • Act as the administrative liaison between the department, the Office of Sponsored Projects, collaborating institutions, sponsoring agencies, and principal investigators.
  • Maintain confidentiality and secure all confidential information.
Qualifications
  • Minimum Bachelor’s degree in Accounting, Finance, Public Health, Biology, Health Science, Science, Engineering, or Math (preferred).
  • Grade8: 1–2 years of finance or grants experience, or equivalent combination of education and experience.
  • Grade9: 2–4 years of research administration or accounting/financial/budgeting experience.
  • Experience preparing federal or non‑federal grant proposals using the Huron system or a similar platform.
  • Familiarity with eRA Commons, NSF Fastlane, Research.gov, and/or Grants.gov desirable.
  • Higher‑education or non‑profit work experience desirable.
  • Strong attention to detail, organizational, administrative, and time‑management skills.
  • Ability to adapt to frequent changes in grant guidelines and compliance requirements while maintaining accuracy.
  • Excellent oral and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel), web‑based tools, Gmail, Google Apps, and Adobe Acrobat Pro.
  • Flexible, service‑oriented, resourceful, and willing to learn.
  • Discretion in handling confidential information.
  • Willingness to work outside normal business hours occasionally to meet University and sponsor deadlines.
