Job summary

Montclair State University is seeking a dedicated Project Coordinator to support the Garden State Veterans Legacy Program (GSVLP). The role emphasizes administrative, logistical, and programmatic duties essential for meeting grant goals, including teacher recruitment, workshop coordination, field trip planning, communications, and procurement.

The program trains 30 K-12 educators to explore New Jersey-connected Veterans stories, culminating in biographies, digital stories, and curriculum

Qualifications

• Bachelor’s degree from an accredited college or university.
• At least two years of administrative or program coordination experience.
• Ability to manage multiple tasks, meet deadlines, and maintain organized records.
• Strong written and verbal communication skills.
• Experience working with diverse communities and stakeholders.
• Proficiency in Google Suite, Zoom, Canvas, and other administrative tools.

Responsibilities

• Assist the Principal Investigator in coordinating GSVLP goals, timelines, and activities.
• Serve as a point of contact for teachers, cemetery partners, and external collaborators.
• Support planning of three-day field experience and exhibition.
• Coordinate Zoom workshops, including scheduling and materials distribution.
• Track project progress and maintain detailed documentation of activities and timelines.
• Assist in preparing reports and ensure compliance with federal guidelines.
• Draft emails, newsletters, and informational materials; support social media updates.
• Facilitate procurement and assist with expense tracking with fiscal staff.
• Maintain digital and physical files.
• Assist teachers in accessing University databases and project tools.
• Support onboarding of student workers or part-time staff.
