This position manages college-wide graduation, credential attainment, and completion outreach initiatives designed to increase credential completion and support institutional attainment goals. Oversees graduation processing, proactive identification and outreach to students who have completed or are near completion of credentials, automatic awarding, reverse transfer, degree audit processes, commencement ceremonies, and related state and federal reporting. Responsibilities and Duties:

  • Provides support to students, faculty and staff regarding graduation, degree requirements, course substitutions, degree verifications, transfer credit, registration changes, withdrawals, and other Registrar’s Office functions by interpreting college policies, reviewing student records, resolving issues, and coordinating with other departments as needed.
  • Manages the graduation application and credential-awarding process by reviewing degree audits and student academic records, confirming completion of degree and certificate requirements, processing eligible awards, and coordinating resolution of graduation deficiencies or exceptions with appropriate instructional and student service areas.
  • Manages diploma and digital credential processes by maintaining accurate graduate information, coordinating credential orders, resolving student and Parchment issues, and ensuring credentials are released accurately and timely.
  • Develops and manages student communications related to graduation applications, eligibility, commencement ceremonies, credentials, and other graduation requirements.
  • Prepares, reviews, and supports certification of required graduation and degree reports, including Texas Higher Education Coordinating Board graduation reports (CBM009 and CBM00M) and National Student Clearinghouse degree reporting, by validating graduate data, researching errors, correcting student records, and ensuring accurate and timely submission.
  • Manages reverse transfer initiatives, including the evaluation and input of transfer credit into the student information system. Research course descriptions, institutional accreditation status, and other transfer resources to aid in the determination of course transferability and equivalency.
  • Plans and manages college commencement ceremonies by developing operational timelines, coordinating staffing and departmental responsibilities, managing vendors and purchases, overseeing ceremony logistics, and ensuring events meet institutional expectations and provide a positive experience for graduates and guests.
  • Administers and maintains institutional advising trees in the student information system, which serve as the college’s official degree audit, by implementing catalog curriculum requirements, testing programming, resolving system and accuracy issues, and making necessary revisions to support accurate advising and graduation evaluation.
  • Develops and manages proactive credential attainment and completion initiatives by analyzing student academic records and completion data, identifying students who have completed or are near completion of credentials, automatically awarding eligible credentials, and developing outreach campaigns.
  • Evaluates and improves graduation, credential attainment, and commencement processes by identifying barriers, developing procedures, maintaining documentation, and training staff.
  • Maintain and monitor the graduation/commencement budget.
  • Other duties as assigned. Responsibilities and duties may change based on the needs of the department and the institution.

Required Education

Bachelor’s degree required ; Master’s preferred

  • Excellent oral and written communication skills.
  • Ability to organize and plan a large-scale event multiple times a year.
  • Ability to interpret and apply complex policies, procedures, and academic requirements.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive student information.
  • Experience using Jenzabar or another student information system.
  • Strong technical skills, including the ability to work with data, generate and review reports, and troubleshoot system or data issues.
  • Ability to develop and maintain effective working relationships across departments.

Preferred Skills & Abilities

Required Experience

  • Four (4) years’ experience in higher education student services, student records, or related experience
  • Three (3) years’ proficient experience using a student information system, such as Jenzabar, or a comparable enterprise system.
