Alabama College of Osteopathic Medicine is seeking a hands-on GME Coordinator II to manage day-to-day operations of the accredited residency program. You will support the Program Director, coordinate between attending physicians, residents, fellows, medical students, and institutional offices.

Responsibilities

  • Coordinate residency office operations and maintain departmental files.
  • Assist in house staff budget initiation and administration.
  • Coordinate resident recruitment processes, evaluate applications, schedule interviews, and track interview information.
  • Disseminate and maintain institutional and departmental policies aligned with ACGME/ AO responsibilities.
  • Create resident and program evaluation reports and track interventions' effectiveness.
  • Maintain accurate records of resident training, rotations, and leaves in IRIS and CMS reporting systems.
  • Provide administrative support to Program Directors and residents.
  • Maintain web-based accreditation surveys and compile information.
  • Plan and coordinate daily resident activities, including conference scheduling and meetings.
  • Coordinate travel plans and prepare travel vouchers for residents and faculty.
  • Maintain accurate timekeeping and ensure payment of faculty and residents.

## **Job Description Summary**The Graduate Medical Education (GME) Coordinator II is a hands-on administrative/professional position responsible for the day-to-day maintenance of educational and departmental activities of the accredited residency training program. The GME Coordinator provides administrative/secretarial support to the Program Director and educational coordination between attending physicians, residents, fellows, medical students and institutional and regulatory administrative offices. This position requires a comprehensive and detailed understanding of the national accreditation policies and hospital polices, as well as a high degree of initiative and independent judgment. The GME Coordinator II must demonstrate resourcefulness, and problem-solving skills in applying a detailed knowledge of the responsibilities, functions and underlying management structure of the department and institution. This includes organizing and independently prioritizing work, establishing procedures and systems, and ensuring orderly and timely work flow. Coordinates and administers human resource functions and performs a variety of tasks and exhibits a wide degree of creativity and latitude while maintaining internal and external program relations.## **Job Description**### **QUALIFICATIONS:**1. Bachelor’s degree or equivalent combination of education and experience ****required****.2. Prior GME experience ****preferred****. Willingness to learn the GME process and obtain knowledge of ACGME and hospital policies and procedures.3. TAGME certified ****preferred.****4. Experience in an academic health system.5. Three to five years of professional/administrative experience.6. Demonstrated ability to think autonomously and escalate issues as needed.7. Demonstrated verbal and written communication skills and effective interpersonal skills.8. Demonstrated ability to work independently and as part of a team. Also able to work autonomously and escalate issues if needed.9. Solid computer skills with Microsoft Office Suite, Internet applications, database software.10. Excellent negotiation, decision making, and time management competence.**Primary Duties/Responsibilities**1.Responsible for the overall coordination of the residency office, including creating and maintaining departmental files, and the preparation of institutional forms and requests.2.Initiation and administration of house staff budget3.Coordinates the resident recruitment processes, including the processing of applications; evaluate residency applications for completeness; notifies applicants of decision to interview and schedule interviews; corresponds with applicants; gathers interview summary information, facilitate new resident orientation4.Responsible for disseminating and maintaining all institutional and departmental policies and procedures developed by the Graduate Medical Education Office that align requirements and mandates set forth by the Accreditation Council of Graduate Medical Education (ACGME)/ and /or AOA.5.Develops and creates resident and program evaluation reports, such as trending evaluation data over time for individual residents, rotations, and the program. Creates evaluation reports needed to identify areas for program improvement and once educational interventions have been designed and implemented by the Program Directors and faculty, tracks data demonstrating effect of interventions. Super-user of residency evaluation software.6.Maintains accurate records of resident’s prior training, resident rotations, and resident leaves of absence, resident vacation, etc., to ensure accurate reporting through the Intern Resident Information System (IRIS) to CMS, ACGME Accreditation Database System, the American Board of Medical Specialties, and Southeast Health’s timekeeping software.7.Ensures that the Program Directors and residents receive appropriate administrative support.8.Maintains Web-based accreditation surveys for program, collecting and collating appropriate information.9.Assists in the planning and coordination of the day to day activities of the residents, may include but is not limited to conference scheduling, resident evaluation process completion, faculty meeting preparation and other activities as requested. Coordinates department/faculty meetings: schedules rooms, types minutes, manages meeting correspondence, and creates reports as needed.10.Coordinates travel plans and oversees preparation of travel vouchers for residents, program director, associate directors, and faculty for approved departmental travel.12.Maintains accurate time records and ensures timely compensation of Program Directors, faculty and residents.
