This position is responsible for coordination of the English Graduate Office, including coordination of admissions to our program and support to applicants, human resource management processes of graduate students and personnel paperwork, utilization and maintenance of various programs and processes to assist and counsel Graduate Teaching Assistants (GTAs) for courses and maintaining eligibility for assistantships and updating and managing the English Graduate Studies budget. This position serves as the assistant to the Director of Graduate Studies in providing academic and administrative support to the program in order to maintain proper university procedures and protocols.Job Responsibilities:20% - Academic: Serves as the assistant to the Director of Graduate Studies program and works closely with the Director of Undergraduate Studies. Provides academic support to make sure the program and each graduate student remains in compliance with all university procedures and protocols. Communicates with internal Graduate Committee about graduate faculty and graduate student concerns and opportunities as well as milestone progress. Works alongside the Graduate and Undergraduate directors to coordinate the scheduling of courses each semester in collaboration with the University Registrar, faculty, and other departmental staff.20% - Administrative: Provides administrative support to make sure the Graduate studies office maintains records properly, and instructs faculty and students on proper university procedures and protocols. Attends Graduate Coordinator Meetings to stay up to date on Graduate School guidelines. Coordinates efficient processes to administer departmental and university wide awards for students. Assists students in filing their necessary paperwork with the Graduate School to remain in good academic standing. Administers the collection of internal course evaluations and submits data to the university assessment software, Watermark. Maintains calendar of student deadlines, defense dates, award deadlines, and meetings for Director. Manages and maintains updates to Graduate Studies website within the English Department site.20% - Human Resource Management/Personnel: Administers the process of onboarding newly appointed Graduate Teaching Assistants into our program through Workday. Collaborates with Human Resources on specific projects and tasks such as submitting Graduate Teaching Assistants and Graduate Faculty through the multi-step Faculty Credentialing software. Submits student requests for potential additional compensation work to the Graduate School for approval. Ensure students’ academic and employment records are properly maintained. Works alongside the Graduate School and Human Resources to ensure international students meet guidelines to maintain their status at the university.15% - Admissions: Coordination of admissions process as well as a liaison between the department potential applicants and members of the community. Works in collaboration with the Graduate School Admissions to create an effective and efficient admissions process for the department. Involves the creation of specialized databases, reports, and the maintenance of confidential electronic paper files. Assists with orientation and advising of new graduate students to our program and assists with their transition over the summer.10% - Registration: Supports registration of graduate students for classes and hours and provides counseling to students regarding all aspects of their assistantship and maintaining eligibility in our program. Utilizes various electronic LSU programs and processes in order to facilitate, monitor, and maintain compliance for all graduate students.10% - Budget: Manages and updates the English Graduate Studies budget of approximately $1.1 million for graduate stipends and salaries. Maintain records of expenditures, encumbrances and balances, and monitor and track budget expenditures in order to inform the Director of Graduate program on the status of the budget as needed. Collaborates with college to maintain a balanced budget throughout the year. Makes recommendations based on budget for admission numbers and potential additional compensation opportunities for students.5% - Other duties as assignedMinimum Qualifications: Bachelor's degree and two years of related experience or master's degree.LSU values skills, experience, and expertise.
