Job summary

Creighton University in Omaha, NE is seeking a Program Manager for Graduate Medical Education to lead residency program operations, accreditation efforts, budgeting, and administration. The role requires building relationships with the Program Director, residents, fellows, and the GME Office to ensure compliance with ACGME Core and Program Requirements.

Qualifications

Responsibilities

  • Tracks accreditation data and coordinates surveys, site visits, and self-studies.
  • Manages ERAS, NRMP, and SOAP processes; coordinates communications and interviews.
  • Maintains residency schedules, call calendars, and work-hour compliance.
  • Acts as liaison between Program Director, residents/fellows, and GME Office; supports documentation.
  • Coordinates curriculum planning, evaluations, conferences, orientation, and logistics.
  • Monitors program budget and spending; handles travel and reimbursements; supports budget projections.
  • Distributes and interprets program policies and procedures for residents and fellows.
  • Manages leave, credentialing, licensure, compliance, and J-1 visa documentation for residents/fellows.
  • Coordinates educational, wellness, and social events; manages swag and exam proctoring.

Job Description

The Program Manager must possess skills in leadership and personnel management. GME Program Managers are expected to develop unique knowledge of the ACGME Core and Program Requirements, policies, and procedures. The program managers assist in accreditation efforts, educational programming, and support of residents/fellows. Responsible for recruiting and on-boarding trainees, developing projects, managing program financials, maintaining databases, communicating with faculty and trainees and managing internal and external program relations. Is also responsible for assisting with: Annual Program Evaluations, Program Evaluation and Clinical Competency Committee, ACGME site visits, Annual Program Review, ACGME Milestone reporting and Self Studies.

Program Accreditation

Tracks accreditation data; completes surveys and reports; coordinates site visits, self-studies, and special reviews; maintains Program Evaluation Committee (PEC) minutes and action items.

Recruitment

Manages ERAS, NRMP, and SOAP processes; coordinates applicant communications, interviews, recruitment events, and rank meetings.

Resident/Fellow Scheduling

Maintains schedules in the residency management system; coordinates call schedules, leave, and work hour compliance.

Department Liaison for GME

Serves as liaison between the Program Director, residents/fellows, and the GME Office; submits required documentation; provides administrative support and guidance.

Curriculum Development

Supports PEC curriculum planning; manages evaluations, conference attendance, orientation materials, and conference logistics.

Program Communications & Meeting Management

Coordinates program communications, meetings, agendas, minutes, website updates, and visiting resident/fellow arrangements.

Finance

Monitors program budget and spending; tracks professional development funds; coordinates travel and reimbursements; assists with budget projections.

Policies & Procedures

Distributes and interprets program policies and procedures for residents and fellows.

Human Resources

Manages leave, credentialing, licensure, compliance requirements, J-1 visa documentation, and administrative support for residents and fellows.

Education, Wellness & Events

Coordinates educational, wellness, and social events; manages event logistics, swag, address lists, and, when applicable, proctors the annual in-training examination.

Qualifications
  • Associate degree or equivalent experience.
  • Experience of office administrative experience, preferably in a healthcare and/or education setting.
  • Experience in general medical education &/or leadership management, human resource experience preferred.
  • Equivalent combination of education and/or work experience considered.
Knowledge, Skills, And Abilities
  • Demonstrated strong organizational skills with attention to detail.
  • Ability to manage multitasking and high-level complex scheduling, action lists and timelines with high-level accuracy.
  • Skilled at building relationships and have excellent customer service skills.
  • Demonstrated written and verbal communication skills.
  • Strong administrative management skills and proficient with Microsoft Office.
Licenses/Certifications
  • TAGME certification preferred or the ability to obtain within the first 3 years of employment.
