Job summary

Balanced Body is seeking a Trade Show Manager to own end-to-end logistics for roughly 20 trade shows annually across the US, UK, and international markets, covering contracting, booth production, freight, staffing, and vendor relationships.

The candidate will collaborate with Sales, Marketing, and Operations to ensure brand-aligned show experiences, onsite execution, and data-driven post-show reviews.

Qualifications

• 7+ years of experience managing trade shows, events, or exhibits, ideally within a B2B, fitness, or wellness industry.
• Strong project management skills with the ability to manage multiple concurrent show timelines.
• Experience negotiating vendor and venue contracts, including booth decorators and movers.
• Working knowledge of freight, shipping, and logistics coordination.
• Comfortable serving as the go-to logistics resource across Sales, Marketing, and Events teams.
• Excellent organizational skills and attention to detail.
• Ability and willingness to travel domestically and internationally to support show execution.
• Valid, current passport and ability to secure visas for international shows.

Responsibilities

• Maintain the annual trade show calendar and monitor booth registration “open dates” to secure priority booth placement on shows selected by Sales & Marketing leadership.
• Contacting shows roughly 8 months in advance to secure placement.
• Negotiate and execute show contracts and booth selection; serve as primary contact for exhibitor portals and insurance requirements.
• Book staff hotel accommodations for shows that do not include lodging.
• Develop booth floorplans and translate them into equipment and sales/marketing needs lists.
• Order and track show equipment and materials accounting for ~3 month lead times.
• Partner with BB Logistics Lead to order supplies for each show.
• Manage freight in/out logistics and secure best rates with advance warehouse shipping.
• Maintain show kits and US/UK booth inventory.
