Job summary

VistaJet, the world’s leading global business aviation company, is seeking a Proposals Coordinator to support the US-focused sales team and report to the Proposals Manager based in the UK.

You will tailor and prepare tailored sales proposals, price checks, and collateral across multiple time zones, coordinating with senior sales leaders to drive proposals to completion. Strong design tools and CRM experience are valued, along with precise numeracy and clear communication.

Qualifications

• Excellent written and verbal communication skills.
• Excellent numeracy skills.
• Experience with InDesign or similar design tools.
• Experience with Salesforce or similar CRM systems.
• Attention to detail and accuracy in collateral preparation.
• Experience shaping proposals for multiple time zones.

Responsibilities

• Prepare tailored sales proposals for the Program Sales team, including price calculations and financial comparisons.
• Prepare presentations and collateral with a consistent, elevated design aesthetic.
• Coordinate with the Proposals Manager to prioritize proposals across time zones and teams.
• Collaborate with Sales VPs to tailor proposals and ensure follow-ups.
• Assist with RFPs and tenders with cross-department support.
• Review templates to ensure currency and fit.
• Maintain an up-to-date log of all proposals prepared for the Program Sales team.
• Support analytics projects focusing on proposal conversions and regional trends.
• Provide ad-hoc team support and research as needed.
