Position Overview: We are seeking an experienced and highly organized Office Manager to oversee the daily administrative operations of our growing functional medicine practice. The ideal candidate will have previous office management experience and a strong medical background, ensuring smooth operations, excellent patient experiences, and effective support for our providers. This role is crucial for maintaining an efficient, welcoming, and professional practice environment.

Key Responsibilities:

  • Manage day-to-day operations of the practice, ensuring efficiency and smooth patient flow.
  • Oversee patient scheduling, appointment confirmations, and follow-ups, including scheduling for HOCATT sessions.
  • Assist in operating the HOCATT Ozone Infrared Sauna, including patient setup, monitoring during sessions, and ensuring adherence to all safety protocols and sanitation procedures (specific training on device operation provided).
  • Manage incoming phone calls, emails, and patient inquiries with professionalism and compassion.
  • Maintain electronic health records (EHR/EMR), ensuring accuracy and patient confidentiality (HIPAA compliance).
  • Coordinate with labs, imaging centers, and other providers as needed.
  • Maintain a clean, organized, and welcoming office environment.
  • Provide administrative support to practitioners as required.
  • Other administrative duties as assigned to support practice needs.

Required Qualifications:

  • Proven experience as an Office Manager, preferably within a medical practice or healthcare setting.
  • Excellent organizational, multitasking, and time-management skills with strong attention to detail.
  • Proficiency in using Electronic Health Records (EHR/EMR) systems.
  • Proficiency with standard office software (Microsoft Office Suite, Google Workspace).
  • Exceptional interpersonal and communication skills (written and verbal).
  • Ability to handle sensitive patient information with discretion and maintain confidentiality (HIPAA).
  • Proactive problem-solver with the ability to work independently.
  • Professional demeanor and a positive, patient-focused attitude.
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.

Preferred Qualifications:

  • Experience working in a functional or integrative medicine practice.
  • Experience with Practice Better.
