Job summary

Houston Ballet seeks an Academy Administrative Coordinator to support the Academy department with data entry, system maintenance, financial tracking, and admin duties. The role requires strong organization, attention to detail, and the ability to work in a fast-paced environment.

Weekend and evening hours may be required. Responsibilities include processing student data, maintaining systems, tracking enrollments and finances, assisting students and families, and preparing meeting materials.

Qualifications

  • Bachelor’s Degree required.
  • 1–3 years of related financial and administrative experience.
  • Proficiency with student information systems and/or accounting systems.
  • Advanced knowledge in Excel and other Microsoft applications.
  • Strong mathematical and analytical skills; detail oriented and timely.

Responsibilities

  • Process student data in the Academy registration database.
  • Maintain accurate information in Academy systems.
  • Track enrollment and Academy financials; report to Finance.
  • Assist students and families daily in person and via email/phone.
  • Prepare meeting materials and take accurate meeting minutes.

Summary:

The Academy Administrative Coordinator assists and supports the Academy department with student data entry and system maintenance, financial tracking and reconciliation, and administrative support. This individual must be well organized with a strong attention to detail and the ability to work in a high volume and fast-paced environment. This individual should have strong interest and experience working in a database and maintaining financial records. Candidates must be available to work on Sunday from 9:00 am-5:00 pm and Monday-Thursday 10:00am-6:00pm

Essential Duties and Responsibilities:

Data and Systems:
  • Processing student data in Academy registration database
  • Maintaining accurate and up-to-date information in Academy systems
  • Tracking and reporting on student enrollment and Academy financials
Financial Tracking:
  • Monitoring and managing Academy expenses
  • Reconciling and reporting income daily to Finance
  • Maintaining accurate and up-to-date Academy financial records and tracking
General Administrative Support:
  • Assisting students and families daily in person and via email and phone
  • Prepare meeting materials and take accurate meeting minutes
Qualifications:
  • Available to work Sunday 9:00am-5:00pm and Monday-Thursday 10:00am-6:00pm
  • Bachelor’s Degree
  • One to three years of related financial and administrative experience
  • Technical proficiency with student information systems and/or accounting systems
  • Advanced knowledge in Excel and other Microsoft applications
  • Strong mathematical and analytical skills with high attention to detail and time management
  • Desire to work as part of a team and to take initiative of a project or task
  • Ability to communicate professionally and effectively with customers and employees
Work Environment:
  • Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.
  • Moderate noise (examples: business office with computers and printers, light traffic)
  • Availability for additional evenings and weekends as needed
