Job summary

Houston Ballet in Houston, TX is seeking a Development Process Coordinator – Nutcracker Market to manage gift processing, donor records, and data quality in support of the Development Department.

You will handle market contributions, maintain Tessitura records, generate acknowledgments, and assist with reports and campaigns, ensuring accurate data and timely processing during Nutcracker Market and Spring Market.

Qualifications

  • Bachelor’s Degree preferred.
  • Minimum two years’ experience in data entry and customer service.
  • Strong verbal, written, interpersonal communication and problem-solving skills.
  • Experience with Windows based applications and donor databases; Tessitura is a plus.
  • Detail oriented and able to multi-task in a fast-paced environment.
  • Ability to collaborate, take initiative and adhere to policies and procedures.
  • Respect for confidentiality.

  • Process Market contributions, pledges, and merchant fees accurately and timely.
  • Create, update, and maintain constituent records in Tessitura.

Summary

The Development Process Coordinator – Nutcracker Market is responsible for the accurate processing of Nutcracker Market, Spring Market gifts and Merchant fees, maintenance of constituent records, data entry, and database support activities that contribute to the effective operation of the Development Department. This position performs routine data quality reviews, maintains current and accurate constituent information, and assists with process improvement initiatives. The coordinator works closely with all department staff to ensure donor transactions are recorded accurately and on time, support day-to-day development operations, and provide required attendance and support for Nutcracker Market and Spring Market.

Duties and Responsibilities
Gift Processing and Acknowledgment
  • Process all Market contributions, pledges, and merchant fees in accordance with established procedures.
  • Verify supporting documentation and ensuring gifts are recorded accurately and timely.
  • Generate donor acknowledgment letters, receipts, and pledge reminders.
Constituent Record Maintenance
  • Create, update, and maintain constituent records in Tessitura.
  • Ensure constituent records are coded accurately and consistently according to department standards.
Data Quality Support
  • Perform routine record reviews and data cleanup projects.
  • Identify potential duplicate records and submit records for review and merge processing.
  • Assist with ongoing database maintenance efforts to support data integrity.
  • Communicate identified process issues or data concerns to management.
  • Follow established standards and procedures for database management and gift entry.
Reporting and Support
  • Assist with preparing routine reports and data requests.
  • Maintain digital records and documentation.
  • Support fundraising campaigns, special events, and departmental projects as needed.

  • Operate as an integral member of the Development Department team.
  • Perform other duties as assigned.
Minimum Qualifications
  • Bachelor’s Degree preferred
  • Minimum two years’ experience in data entry and customer service

  • Experience with Windows based applications and donor databases
  • Tessitura experience a significant plus
