About the role: You will be working in our Austin, TX location coordinating and fulfilling orders related to enterprise compliance across numerous jurisdictions. This role involves working full-time and onsite from 8:30am to 5:30pm, Monday through Friday.
What you will do:
- Communicate with coworkers, correspondents, jurisdiction employees, and others in a timely, effective, and professional manner
- Flexibly move between service operations departments depending on busy season, volume, and business needs
- Efficiently and accurately navigate public record websites and government databases for the purpose of filing and retrieving publicly recorded documents.
- In coordination with colleagues and correspondents, prepare, review, and submit filings to various regulatory agencies, or perform research, paying close attention to statutory and jurisdictional rules and regulations.
- Utilize Capitol Services' proprietary systems to process work
- Accurately enter and maintain information in Capitol Services’ proprietary systems according to internal guidelines, protocols, and procedures.
- Operate office equipment, such as phones, computers, scales, mailing sorters, photocopies and scanners.
- Maintain organization to ensure accurate results.
- Provide internal customer service that is courteous, warm, and knowledgeable, exercising emotional intelligence while under pressure.
Who you are:
- Preferred: 1-4 years' of relevant experience in a similar role in the legal services industry or law firm environment
- Strong organizational and time management skills: You have the ability to multi-task and prioritize projects / assignments. You have a strong attention to detail and exhibit a reasonable sense of urgency when processing orders to completion.
- Excellent communication skills: You have excellent verbal and written communication skills. You communicate in both a professional and friendly manner with coworkers, correspondents, and others.
- Adaptable: You are eager to use new tools and learn new processes and technologies. You can adapt to changing priorities while working in a fast-paced and high-stress environment. You have strong problem-solving skills to address any challenges that may arise.
- Coachable: You have the ability to retain and implement instruction and training. You are open to learn and navigate our current processes and systems. You are not afraid to ask questions.
- Positive attitude: You demonstrate a positive attitude. You are courteous and polite, especially when navigating through difficult conversations, problems, or complaints that may arise.
- Team player: You are able to work in both a team and independent setting. You tend to foster support and dependability towards your peers while also getting your individual tasks done within specific time constraints.
- Reliable: You are able to work during our regular business hours in our Austin office, which may be 100% onsite or eligible for hybrid depending on business needs. You are a punctual individual and able to follow an assigned work schedule. You are able to maintain client confidentiality at all times.
- Technical competencies: You are comfortable using Microsoft Software (Outlook, Word, and Excel) and interacting with Adobe PDF documents.
- Office environment: You are able to remain in a stationary position 75% of the time.
