Front Office Supervisor – Dermatology Practice
We are seeking an experienced, dependable, and patient-focused Front Office Supervisor to join our dermatology practice. This is a hands-on leadership position for someone who enjoys working with patients, supporting a team, solving problems, and helping keep a busy medical office running smoothly.
The Front Office Supervisor will oversee the daily operations of the front desk while also actively participating in front-office responsibilities. The ideal candidate is organized, professional, approachable, and comfortable holding team members accountable while maintaining a positive work environment and excellent patient experience.
Responsibilities include:
- Supervise and support front-office staff in daily operations
- Ensure patients are promptly greeted, acknowledged, checked in, and assisted in a professional and welcoming manner
- Monitor front desk workflow and provide hands-on assistance during busy periods
- Oversee appointment scheduling, check-in/check-out, patient registration, and collection of copays, deductibles, balances, and self-pay fees
- Answer and assist with incoming calls and patient questions
- Verify patient demographics and insurance information for accuracy
- Help resolve scheduling concerns, patient complaints, and front-office issues
- Monitor staff performance, attendance, professionalism, and adherence to office policies
- Train and onboard new front-office employees
- Provide coaching and corrective feedback when needed
- Assist with staff scheduling and coverage to ensure adequate front-desk support
- Maintain strong communication between providers, clinical staff, management, and front-office employees
- Identify workflow issues and recommend improvements
- Ensure patient information is handled appropriately and HIPAA requirements are followed
- Help maintain a clean, organized, and professional front-office environment
- Perform additional administrative duties as needed
Qualifications:
- Previous medical front-office experience required
- EMR Experience required (We use Eclinical Works)
- Previous supervisory, lead, or management experience strongly preferred
- Dermatology experience is a plus
- Strong knowledge of medical scheduling, insurance verification, patient registration, and payment collection
- Excellent communication and customer-service skills
- Comfortable addressing performance concerns and handling difficult conversations professionally
- Strong organizational and multitasking skills
- Ability to remain calm and professional in a busy medical-office environment
- Dependable, punctual, and able to lead by example
- Comfortable learning and using electronic medical record and practice-management systems
- Ability to maintain patient and employee confidentiality

- Communicates expectations clearly and respectfully
- Can balance excellent patient service with office policies and procedures

- Helps create accountability while still being approachable and supportive
- Understands that the front office sets the tone for the entire patient experience
