Job summary

PT Solutions Physical Therapy seeks an Front Office Supervisor to lead daily clinic front office operations, emphasizing engagement, environment, and staff performance.

You will collaborate with clinic managers and cross-functional teams to drive referrals, scheduling, and patient service while supporting PTO coverage across Austin locations.

Qualifications

• High School diploma or GED required; diploma submission may be requested.
• Typing 45 words per minute preferred.
• Strong verbal and written communication abilities.
• Excellent organization with deadline prioritization.
• Proficiency in Word, Excel, and Windows-based apps.
• Excellent customer service and relationship-building skills.
• Solid understanding of medical reimbursement and technology.
• Basic bookkeeping and accounts receivable knowledge.
• Familiarity with standard office equipment.
• Ability to manage heavy workload in a fast-paced setting.
• Knowledge of federal and state employment laws preferable.

Responsibilities

• Oversee daily front office operations for the clinic.
• Support staff performance and frontline engagement.
• Open requisitions and assist in hiring PSCs across Austin clinics.
• Collaborate with insurance verification, authorization, and billing teams.
• Coach team on referral management and customer service.
• Monitor KPI metrics and labor/Schedule management.
• Participate in monthly 1:1s with Front Office Manager.
• Cover PTO and travel to multiple Austin clinics as needed.

Job Overview & Responsibilities

AsFront Office Supervisor, you will facilitate and supervise the daily front office operations for the clinic. This position will focus on the clinic’s front office engagement, environment, and staff performance. Employee will share the mission and values of PT Solutions.

SUCCESS LOOKS LIKE

• Ability to perform at or above budgeted metrics for visits and evaluations
• Works closely with Clinic Manager 1, Clinic Manager 2 and Senior Clinic Manager
• Partners with the Front Office Manager to open requisitions, interview and hire PSCs to staff clinic
• This position is front facing, contributing to clinic volume
• Provide coaching that focuses on clinic front office performance to Referral Management, POC adherence and Customer Service expectations.
• Monitor referral data and KPI’s
• Manage clinic front office labor, schedules and PTO requests
• Participate in Monthly 1:1 with Front Office Manager
• Effectively communicate and collaborate with insurance verification team, authorization team and reimbursement/billing team
• Perform other duties or special projects as assigned.

Qualifications & Pay Range

EXPERIENCE & SKILLS

• PT Solutions requires at minimum, a High School or GED diploma. Submission of diploma for the highest level of education obtained will be required.
• Keyboarding skills, with the ability to type 45 words per minute preferred.
• Strong interpersonal, oral (including telephone skills) and written communication skills.
• Good organization skills and an ability to prioritize to meet deadlines.
• Proficiency in Microsoft Word, Excel, Window-based applications.
• Excellent communication and relationship-building skills.
• Complete understanding of medical reimbursement and technology.
• Knowledge of basic bookkeeping and accounts receivable principles including basic.
• Working knowledge of all standard office equipment.
• Must have demonstrated skill in prioritizing daily responsibilities and crises to handle a heavy workload.
• Must be able to work successfully in a fast-paced environment.
• Strong customer service skills.
• Basic knowledge of federal and state employment laws and regulations.

Schedule:

Monday-Friday full time, flexible hours. Must be able/willing to drive to other Austin clinics at times to cover PTO (Arboretum, Bastrop, Bee Cave, Dripping Springs, Oak Hill, Hutto).

Compensation

Pay Range: $19-22/hour (Any posted pay range considers multiple compensations factors including background, experience, and work location while also allowing for salary growth within the position)
