Job summary

PT Solutions Physical Therapy is seeking a Front Office Supervisor to oversee daily front desk operations at our Newark clinic. The role focuses on front office engagement, environment, and staff performance, aligning with PT Solutions’ mission and values.

You will supervise, coach, and collaborate with the Front Office Manager to staff the clinic, monitor metrics, and ensure excellent customer service while handling insurance verification, authorizations, and billing coordination.

Qualifications

• Bilingual in Spanish is required or preferred.
• High School diploma or GED is required.
• Typing 45 words per minute preferred.
• Strong interpersonal, oral and written communication skills.
• Proficiency with Microsoft Word, Excel and Windows-based apps.

Responsibilities

• Front office supervision and engagement.
• Coach and improve clinic front office staff performance.
• Open requisitions, interview and hire PSCs.
• Monitor referral data and KPIs; support clinic volume growth.
• Coordinate with insurance verification, authorization, and billing teams.
• Manage front office labor, schedules and PTO requests.
• Participate in monthly 1:1 with Front Office Manager.

Job description

As Front Office Supervisor, you will facilitate and supervise the daily front office operations for the clinic. This position will focus on the clinic’s front office engagement, environment, and staff performance. Employee will share the mission and values of PT Solutions.

SUCCESS LOOKS LIKE

• Ability to perform at or above budgeted metrics for visits and evaluations
• Works closely with Clinic Manager 1, Clinic Manager 2 and Senior Clinic Manager
• Partners with the Front Office Manager to open requisitions, interview and hire PSCs to staff clinic
• This position is front facing, contributing to clinic volume
• Provide coaching that focuses on clinic front office performance to Referral Management, POC adherence and Customer Service expectations.
• Monitor referral data and KPI’s
• Manage clinic front office labor, schedules and PTO requests
• Participate in Monthly 1:1 with Front Office Manager
• Effectively communicate and collaborate with insurance verification team, authorization team and reimbursement/billing team
• Perform other duties or special projects as assigned.
  

Pay Rate

$22/hr

Experience & Skills

• Candidate must be bilingual in Spanish.
• PT Solutions requires at minimum, a High School or GED diploma. Submission of diploma for the highest level of education obtained will be required.
• Keyboarding skills, with the ability to type 45 words per minute preferred.
• Strong interpersonal, oral (including telephone skills) and written communication skills.
• Good organization skills and an ability to prioritize to meet deadlines.
• Proficiency in Microsoft Word, Excel, Window-based applications.
• Excellent communication and relationship-building skills.
• Complete understanding of medical reimbursement and technology.
• Knowledge of basic bookkeeping and accounts receivable principles including basic.
• Working knowledge of all standard office equipment.
• Must have demonstrated skill in prioritizing daily responsibilities and crises to handle a heavy workload.
• Must be able to work successfully in a fast-paced environment.
• Strong customer service skills.
• Basic knowledge of federal and state employment laws and regulations.
