Job summary

PT Solutions Physical Therapy seeks a Front Office Supervisor to oversee daily clinic front office operations, drive performance, and support onboarding of PSC staff across multiple nearby clinics.

The role emphasizes coaching, KPI monitoring, and collaboration with insurance, authorization and billing teams to maintain smooth patient flow and customer service standards.

Qualifications

• Must have a high school diploma or GED; diploma submission required.
• Typing at least 45 words per minute is preferred.
• Strong interpersonal, oral and written communication skills.
• Good organization and ability to prioritize to meet deadlines.
• Proficiency in Microsoft Word and Excel; Windows-based applications.
• Excellent communication and relationship-building skills.
• Knowledge of medical reimbursement and technology.
• Knowledge of basic bookkeeping and accounts receivable principles.
• Working knowledge of standard office equipment.
• Ability to prioritize daily responsibilities and manage a heavy workload in a fast-paced environment.

Responsibilities

• Supervise daily front office operations for the clinic.
• Collaborate with Clinic Manager and Senior Clinic Manager.
• Open requisitions and assist with staffing.
• Coach staff to meet referral management and customer service expectations.
• Monitor referral data and KPI performance.
• Manage front office labor, schedules and PTO requests.
• Communicate with insurance verification, authorization and billing teams.
• Participate in monthly 1:1 with Front Office Manager.
• Travel between multiple clinics in the area as needed.

Job Overview & Responsibilities

AsFront Office Supervisor, you will facilitate and supervise the daily front office operations for the clinic. This position will focus on the clinic’s front office engagement, environment, and staff performance. Employee will share the mission and values of PT Solutions.

SUCCESS LOOKS LIKE

• Ability to perform at or above budgeted metrics for visits and evaluations
• Works closely with Clinic Manager 1, Clinic Manager 2 and Senior Clinic Manager
• Partners with the Front Office Manager to open requisitions, interview and hire PSCs to staff clinic
• This position is front facing, contributing to clinic volume
• Provide coaching that focuses on clinic front office performance to Referral Management, POC adherence and Customer Service expectations.
• Monitor referral data and KPI’s
• Manage clinic front office labor, schedules and PTO requests
• Participate in Monthly 1:1 with Front Office Manager
• Effectively communicate and collaborate with insurance verification team, authorization team and reimbursement/billing team
• Perform other duties or special projects as assigned.
• Must be able travel between multiple clinics in area.

Qualifications & Pay Range

EXPERIENCE & SKILLS

• PT Solutions requires at minimum, a High School or GED diploma. Submission of diploma for the highest level of education obtained will be required.
• Keyboarding skills, with the ability to type 45 words per minute preferred.
• Strong interpersonal, oral (including telephone skills) and written communication skills.
• Good organization skills and an ability to prioritize to meet deadlines.
• Proficiency in Microsoft Word, Excel, Window-based applications.
• Excellent communication and relationship-building skills.
• Complete understanding of medical reimbursement and technology.
• Knowledge of basic bookkeeping and accounts receivable principles including basic.
• Working knowledge of all standard office equipment.
• Must have demonstrated skill in prioritizing daily responsibilities and crises to handle a heavy workload.
• Must be able to work successfully in a fast-paced environment.
• Strong customer service skills.
• Basic knowledge of federal and state employment laws and regulations.
