The Front Office Manager serves as the primary point of contact for families, staff, students, and visitors, functioning as the vital hub of school operations and the "right hand" to both the Principal and Executive Director. This high-energy role requires an exceptional ability to multitask, prioritize effectively, and maintain composure in a dynamic environment subject to frequent daily interruptions. The Front Office Manager oversees student records, attendance, substitute/teacher morning coverage, health office backups, purchasing, and financial record-keeping in partnership with the school accountant. This position is pivotal for maintaining a productive and organized workplace, enabling other staff members to perform their roles effectively.
Key Responsibilities & Duties
- Serve as the welcoming face of the school, managing all front office inquiries, phone calls, and visitor check-ins.
- Multitask efficiently in a fast-paced environment while managing continuous daily interruptions with professionalism and patience.
- Act as the key executive assistant and "right hand" to the Principal and Executive Director, managing calendars, scheduling meetings, and assisting with special projects.
- Send school-wide communications, notifications, and emergency alerts to families through the school's messaging system.
- Manage and maintain office equipment, including copy machines (ink/toner replacement, paper loading, troubleshooting, vendor maintenance calls, and training staff on proper usage).
Morning Coverage & Staffing Support
- Coordinate morning coverage to ensure every classroom has a teacher or qualified substitute present prior to the start of the school day.
- Track and monitor staff time-off requests (sick leave, PTO, personal days) and accurately log hours for payroll audit purposes.
- Registrar, Student Records & Infinite Campus
- Oversee and/or manage all things registration from initial inquiry to enrollment completion: process application packages, manage lottery or waitlist systems, collect and verify required documents (birth certificates, immunization records, proof of residency), and onboard new families.
- Maintain complete and compliant physical and digital student records/files.
- Ensure all student information is up to date in Infinite Campus.
- Build schedules, oversee that gradebooks are set up correctly, and work with District 6 if needed for Infinite Campus.
Finance, Budget & Accounting Support
- Partner closely with the school accountant to ensure accurate, timely record-keeping of the school budget and overall financial tracking.
- Assist in bill processing, invoice verification, and submitting payment requisitions to the accountant.
- Manage the school supply procurement process: take requests, place orders, track inventory, and distribute supplies for teachers and students within budget guidelines.
- Collect, track, and deposit all money collected by the school and financial contributions in coordination with the accountant.
Field Trip Coordination & Financials
- Oversee end-to-end field trip logistics, including permission slips, transportation, and scheduling.
- Collect, track, and deposit field trip fees and financial contributions in coordination with the accountant.
Health Office Backup & Student Care
- Serve as the secondary coverage for the health office: administer basic first aid, dispense pre-authorized medications, log clinic visits, and notify parents when a student is ill or injured.
Additional Operations & Safety
- Oversee visitor management and school access controls (badges, sign-in logs) to support campus safety.
- Maintain inventory and organization of central supply closets and common staff spaces.
- Coordinate logistics for special school events (e.g., Picture Day, Parent-Teacher Conferences, Graduation/Promotional Ceremonies).
- Handle incoming/outgoing mail, deliveries, and package distribution.
Required Qualifications & Skills
- Experience: 2 � 4+ years of administrative, secretarial, or office management experience (prior experience in a K�12 school or educational environment strongly preferred).
- Adaptability & Multitasking: Exceptional ability to maintain focus, organize competing priorities, and execute tasks efficiently despite constant interruptions.
- Communication: Strong written and verbal communication skills; comfortable addressing families, staff, and district administrators.
Technical Proficiency:
- Proficiency with Google Workspace or Microsoft Office.
- Familiarity with Infinite Campus (IC), SchoolMint, and family messaging platforms (e.g., ClassDojo, LiveSchool).
- Financial Literacy: Basic understanding of budgeting, bookkeeping, invoice processing, and cash handling procedures.
- Certifications: First Aid/CPR Certification (or willingness to obtain upon hire).
- Clearance: Successful completion of background checks and required clearances.
Physical & Mental Demands
- Ability to sit, stand, and move about the office/building throughout the day.
- Ability to lift up to 25�30 lbs (e.g., boxes of paper, supply deliveries).
- Comfort operating in a high-sensory environment with loud noises, frequent foot traffic, and changing priorities.
