Brief Description
As a Front Office Associate, you will be the first point of contact, answering phones, greeting clients, registering and scheduling clients, collecting co-pays, and acting as a liaison between our mental health professionals and patients. We are committed to helping patients experiencing personal, emotional, marriage, family, or psychological issues. You will play an important role by actively listening to patients' needs and showing empathy.

About Nystrom & Associates
We are a team of mental health professionals specializing in psychiatric evaluations, clinical social work, and family therapy. Founded in 1991, we offer outpatient substance use disorder programs, psychological testing, behavioral health, and medication management services.

Hours: (Must be able to work one of the following shifts)
Monday - Thursday 11:00AM - 7:30PM, Fridays 9:00AM - 5:30PM
Eligible shift differential for hours past 6PM.

Job Duties
  1. Interact warmly and professionally with patients and visitors.
  2. Answer inbound and make outbound calls, respond to inquiries promptly, and provide accurate information or triage as needed.
  3. Check-in patients, verify information, provide paperwork, and collect payments.
  4. Coordinate care by scheduling appointments and collaborating with providers using multiple systems.
  5. Maintain a clean and organized front desk and waiting area.
  6. Handle patient concerns with empathy and collaborate with leadership for resolution.
  7. Perform administrative tasks such as filing, scanning, faxing, and mailing.
  8. Attend meetings and trainings as required.
  9. Other duties as assigned.
  10. Demonstrate strong communication and interpersonal skills.
  11. Manage stress effectively during difficult interactions.
  12. Handle confidential information appropriately.
