Job summary

Lone Star Paving is seeking an Office Administrator to support multiple departments and ensure smooth daily operations in the San Antonio area. The role focuses on data entry, filing, and general office logistics within a family-oriented company.

You will manage calendars, inventory, mail flows, travel planning for executives, and coordination of office functions in a fast-paced environment. The position is full-time, on-site with an hourly pay structure and benefits.

Qualifications

  • Bilingual English/Spanish preferred.

Responsibilities

  • Answer phone calls and direct callers to the correct contact.
  • Onsite greeting of employees and guests.
  • Order, stock, and manage office and kitchen supplies.
  • Plan and coordinate employee lunches and functions.
  • Receive and sort mail/fedex/UPS; distribute accordingly.
  • Process outgoing mail/fedex/UPS shipments.
  • Assist with expense reports using Concur.
  • Assist with hotel reservations and travel for executives.
  • Maintain conference room calendar and scheduling.
  • Track key distributions for office staff.
  • Perform additional duties as assigned.

Lone Star Paving is a paving contractor operating in the Central Texas region with paving crews, HMA, aggregate, trucking, milling, and quality control. Our operations complete heavy highway and civil projects throughout Texas. Position Overview

The Office Administrator will work with various departments and teams to ensure organization, execution, and upkeep of essential office functions. The ideal candidate is familiar with data entry, filing, and computer systems and has a thorough understanding of business logistics.

Key Responsibilities
  • Answering phone calls and directing callers to the correct point of contact
  • Onsite greeting and direction of employees and guests
  • Ordering, stocking, and keeping up to date inventory of office and kitchen supplies
  • Planning, ordering, and presenting planned employee lunches and functions
  • Receive incoming Mail/Fedex/UPS, sort, scan, and distribute
  • Send outgoing Mail/Fedex/UPS
  • Delivery receipt, alert, and distribution
  • Coordination of daily use, supplies, and maintenance for Print, Scan, and Shred
  • Concur – scan receipts, upload, and save expense reports
  • Assist with hotel reservations and travel plans for executive team
  • Creating, maintaining, and updating conference room calendar
  • Key distribution tracking for office staff
  • Additional duties and responsibilities as assigned
Qualifications
  • 1+ year experience
  • High School diploma or equivalent recommended, but not required
  • Dual language – English and Spanish (Preferred but not required)
  • Must be organized with a detail-oriented mindset.
  • Must be positive, friendly, and professional.
  • Ability to work well with others in a group or one‑on‑one setting.
  • Must demonstrate professional communication in reaching out to employees, managers, and clientele for needed information, documentation, etc.
  • Willingness to take on additional tasks and responsibilities as they arise.
  • Exhibit excellent time management skills and ability to prioritize various tasks and complete them in a timely manner.
  • Able to perform duties independently.
  • Promote a team approach and maintain dialogue with all employees to exchange information and gather ideas.
  • Collaborate with any project teams on other special initiatives, as required.
  • Punctuality to work schedule and duties.

Working Conditions
  • Work will be performed in office setting- must be in San Antonio area.
  • Full time, hourly. May require availability for overtime hours.
  • Must comply with the company's drug and alcohol testing requirements.
  • Requires periodic participation and attendance at company events and meetings.
