Job summary

Qualifications

  • 3+ years experience in office administration or similar role.
  • Bilingual English and Spanish is preferred.
  • Ability to work with multiple departments and teams.

Responsibilities

  • Answering phone calls and directing callers to the correct point of contact.
  • Onsite greeting and direction of employees and guests
  • Ordering, stock, and keeping up to date inventory of office and kitchen supplies
  • Planning, ordering, and presenting planned employee lunches and functions
  • Mail receipt, sort, scan, and distribution and Fedex, UPS
  • Delivery receipt, alert, and distribution
  • Coordination of daily use, supplies, and maintenance for Print, Scan, and Shred
  • Concur – scan receipts, upload, and save expense reports
  • Creating, maintaining, and updating conference room calendar
  • Key distribution tracking for office staff
  • Executive Team assistance – scheduling, ordering, organization hotel reservations, travel plans, and other administrative tasks
  • Additional duties and responsibilities as assigned

Lone Star Paving is a paving contractor operating in the Central Texas region with paving crews, HMA, aggregate, trucking, milling, and quality control. Our operations complete heavy highway and civil projects throughout Texas. Position Overview

The Office Administrator will work with various departments and teams to ensure organization, execution, and upkeep of essential office functions. The ideal candidate is familiar with data entry, filing, and computer systems and has a thorough understanding of business logistics and executive team coordination.

Key Responsibilities
  • Answering phone calls and directing callers to the correct point of contact
  • Onsite greeting and direction of employees and guests
  • Ordering, stock, and keeping up to date inventory of office and kitchen supplies
  • Planning, ordering, and presenting planned employee lunches and functions
  • Mail receipt, sort, scan, and distribution and Fedex, UPS

Qualifications
  • 3+ years experience
  • High School diploma or equivalent recommended, but not required
  • Dual language – English and Spanish
  • Must be organized with a detail-oriented mindset.
  • Must be positive, friendly, and professional.
  • Ability to work well with others in a group or one-on-one setting.
  • Must demonstrate professional communication in reaching out to employees, managers, and clientele for needed information, documentation, etc.
  • Willingness to take on additional tasks and responsibilities as they arise.
  • Exhibit excellent time management skills and ability to prioritize various tasks and complete them in a timely manner.
  • Able to perform duties independently.
  • Promote a team approach and maintain dialogue with all employees to exchange information and gather ideas.
  • Collaborate with any project teams on other special initiatives, as required.

Working Conditions
  • Work will be performed in office setting- must be in Austin area.
  • Full time, hourly. May require availability for overtime hours.
  • Must comply with the company's drug and alcohol testing requirements.
  • Requires periodic participation and attendance at company events and meetings.
