Front Desk & Workplace Experience Coordinator

We are seeking a highly service-oriented Front Desk & Workplace Experience Coordinator to serve as the front line of a dynamic office environment and play a key role in delivering an exceptional employee and guest experience.

This position goes beyond traditional reception duties. We’re looking for someone who anticipates needs, solves problems in real time, and takes pride in ensuring the workplace operates smoothly, comfortably, and efficiently every day.

The ideal candidate brings a hospitality mindset, strong administrative skills, and a hands-on approach to supporting both people and the workplace. This individual will help ensure employees feel supported, guests feel welcomed, and the office consistently operates at a high standard.

Key Responsibilities
Front Desk & Guest Experience
  • Create a welcoming, polished, and high-touch experience for visitors, guests, and employees
  • Serve as the primary point of contact at the front desk, handling inquiries with professionalism, responsiveness, and discretion
  • Ensure a seamless guest experience from arrival through departure, including check-in, wayfinding, and coordination with internal hosts
Employee Support & Workplace Service
  • Act as a go-to resource for employees and help resolve day-to-day office needs quickly and effectively
  • Assist with changing schedules and priorities, including calendar coordination, room changes, and last-minute requests
  • Provide responsive, service-oriented support across the workplace
Meeting & Conference Room Management
  • Oversee conference room readiness, including room setup, furniture configuration, cleanliness, and overall presentation
  • Regularly assess meeting spaces to ensure they are stocked, reset, and ready for use throughout the day
  • Support meeting logistics, including scheduling adjustments, catering coordination, and basic A/V readiness
Office Operations & Administrative Support
  • Provide administrative support, including scheduling, data entry, and general office coordination
  • Manage incoming and outgoing mail, packages, and deliveries accurately and efficiently
  • Order, stock, and maintain office and pantry supplies
  • Partner closely with office leadership to support daily operations and evolving workplace needs
Workplace Upkeep & Employee Experience
  • Maintain clean, organized, and hospitality-driven front-of-house and shared spaces
  • Regularly restock conference rooms, pantry areas, and supply stations
  • Assist with office events, internal communications, and employee engagement initiatives
  • Support visitor management and workplace security protocols
  • Step in wherever needed to help maintain a positive and highly functional workplace
Qualifications
  • 1+ years of experience in a front desk, administrative, hospitality, workplace, or office support role
  • Strong service mindset with a genuine interest in taking care of people
  • Excellent communication and interpersonal skills
  • Highly organized with the ability to multitask and adapt in a fast-paced environment
  • Comfortable managing changing priorities and last-minute requests professionallyProficiency with Microsoft Office Suite, including Outlook, Word, and Excel
  • Ability to handle sensitive or confidential information with discretion
  • Proactive, hands-on approach and willingness to support wherever needed
Preferred Qualifications
  • Experience within a corporate, life sciences, biotech, healthcare, or similarly professional environment
  • Familiarity with conference room scheduling tools, visitor management systems, and office operations workflows
  • Experience supporting meetings, events, or workplace experience initiatives

Schedule
  • 30-40 hours per week
  • Monday through Thursday required
  • Additional fifth day based on business needs
  • Flexible scheduling, generally within 8:00 AM-4:30 PM
