  • Proficiency with dental office software and Microsoft Suite.

Responsibilities

  • Provides outstanding customer service with patient as #1 priority; works with staff to resolve concerns.
  • Acts as liaison between new patients and the office; explains financial options to patients and families.
  • Opens and/or closes the office as needed per policy.
  • Checks daily schedule for accuracy and maintains patient flow with minimal wait time.
  • Greets patients and visitors and assists clinical staff with patient flow.
  • Responds to calls and voicemails professionally and timely.
  • Checks in patients and verifies/updates information.
  • Schedules follow-up appointments and confirms next visits.
  • Follows HIPAA to protect patient information.
  • Uses dental software, HRIS, and Microsoft Suite as needed.
  • Tracks hours and PTO, with pre-approval from Office Manager.
  • Completes continuing education as necessary.
  • Collects payment and presents treatment plans to patients.
  • Verifies insurance plans and manages account balances.
  • Contacts patients by phone, email, or letters about outstanding balances.

Job description

An upbeat pediatric and orthodontic dental office in Victoria is looking for a front desk team member. Team player and experience required.

A full job description is as follows.

Essential Functions:
  • Provides outstanding customer service with patient as #1 priority; partnering with staff, timely and successfully resolves patient concerns and questions.
  • Acts as the liaison between the new patient and the office Explains financial options to patients and family members so as to facilitate an understanding of the patient's’ obligations
  • If needed, opens and/or closes office according to office policy
  • Checks the daily schedule for accuracy
  • Greets and welcomes patients and visitors; assists in helping clinical staff with patient flow such that there is minimal patient wait time
  • Answers and responds to telephone calls with professionalism and according to office policy; responds to voice mail messages professionally and timely
  • Checks in patients according to office policy, verifying and updating patient information
  • Makes follow up patient appointments as needed; confirms the next appointments according to patient preferences and office policy while scheduling for most efficient use of Doctor and staff time
  • Follows HIPAA protocol in protecting patient private information
  • Uses best efforts to fill in cancellation and no-show appointment times
  • Effectively understands and utilizes company dental software, HRIS, applicable Microsoft Suite applications and other internet vehicles as necessary
  • Understands company’s timekeeping system and enters hours worked and PTO appropriately and timely; gains pre-approval from Office Manager for overtime; notifies Office Manager immediately if discrepancy in hours paid through payroll
  • Completes continuing education as necessary
  • Collects payment from patients at the time of treatment
  • Prepares financial treatment plans and presents plan options to patient at end of their appointment
  • May check validity of debit balance accounts
  • Verifies patient insurance plans
  • Manages the status of accounts and balances and identifies inconsistencies
  • Follows up by phone, email and letters with patients on outstanding balances in tactful but diplomatic manner
Nonessential Functions:

Performs additional tasks as necessary or assigned to achieve office/company goals.
