Job summary

Wisconsin Fertility Institute is seeking a Front Desk Representative to provide a warm, professional first impression and ensure smooth front office operations. You will greet patients, verify demographics and insurance, handle calls, collect payments, and support clinical staff while upholding HIPAA compliance.

The role offers consistent Monday–Friday hours from 7am to 4pm, with specialized training for fertility care, and the opportunity to contribute to patients' journey toward building

Qualifications

• High school diploma or equivalent required.
• Minimum 1 year of experience in medical front office, reception, or patient services preferred.
• Strong interpersonal and customer service skills are essential.
• Passion for women’s health; fertility experience is a plus.
• Strong communication skills and teamwork are important.
• Willingness to multitask, adapt, and troubleshoot in a fast-paced setting.
• Detail-oriented with solid organizational abilities.
• Professionalism and excellent customer service are a must.

Responsibilities

• Greet and check in patients, maintaining a welcoming, supportive environment.
• Verify patient demographics, insurance information, and required documents.
• Answer incoming calls and respond to patient inquiries professionally and compassionately.
• Collect payments and assist with basic administrative and billing support.
• Support physicians, clinic staff with front office coordination and workflow.
• Maintain patient confidentiality and HIPAA compliance.
• Perform other administrative and operational duties as assigned.

Role

The Front Desk Representative role provides patients with a warm and professional first impression while ensuring smooth day-to-day operations of the clinic front office. As a key member of our team, you will:

• Greet and check in patients while providing a welcoming, supportive environment
• Verify patient demographics, insurance information, and required documentation
• Answer incoming calls and respond to patient inquiries in a professional and compassionate manner
• Collect payments and assist with basic administrative and billing support
• Support physicians, clinic and administrative staff with front office coordination and workflow
• Always ensure patient confidentiality and compliance with HIPAA and clinic policies
• Other administrative and operational related duties as assigned
