Reception Administrator
Reception Administrator (onsite) opening for an award-winning, educational design focused architecture firm located in the Crossroads district of KCMO. Our ideal candidate has a background in reception and customer service and must possess a strong administrative skillset and enjoy doing administrative-type tasks. This position will work with our Administrative Team to continue to provide support for our amazing firm and clients!
The responsibility of this position is reception and administrative duties. The position requires a friendly and people-oriented approach to work, as well as strong organization and time management skills.

Basic Qualifications
- Minimum high school diploma; GED; or completion of one year of college or technical school required.
- A minimum of 2 years of administrative, customer service, or related professional experience required.
- Architectural, Engineering, or Construction (AEC) firm experience preferred but not required.
- Proficiency in Microsoft office required, specifically Outlook, Word, PowerPoint, and Teams.
- Valid driver’s license and reliable transportation, as it may be necessary to perform work-related assignments outside the office.
- You have documentation that allows you to work in the United States of America.
- You have met required background check standards.

Role Responsibilities
A member of the People & Studio Experience Pillar.
Reports to Office & Events Administrator.
-Performs receptionist duties:
- Delivers exceptional service to our clients, visitors, and trade partners.
- Acts as first point of contact at the Firm, offering a warm and friendly atmosphere.
- Manages incoming phone calls, using a multi-line phone system for the office, and as backup to other office locations as needed.
- Greets and assists visitors, vendors, and clients, ensuring they feel welcome in the office space.
- Keeps reception and all office public use areas, including kitchen and kitchen equipment, clean and professional in appearance. Notifies Office & Events Administrator of any known office/kitchen equipment and office supply needs or replacements.
- In cases of emergency, acts as the first point of contact for guests and the emergency services.
- Coordinates and executes preparation and space setup for in-office client meetings and internal events, including food and drink ordering, delivery, setup, and cleanup. Coordinates with Office & Events Administrator as required.
- Responds to requests from clients for assistance or information.
- Coordinates all deliveries and shipments, including managing incoming and outgoing mail, packages, shipping labels, and scheduled drop-offs outside the office.
- Communicates internally via all-office emails, produces monthly PowerPoint slide decks, and responds to requests.
- Maintains and replenishes office supply inventory.
-Supports Office and Events Administration
- Coordinates and supports Office & Events Administrator, implementing requests and delegated tasks.
- Supports Office & Events Administrator in executing travel arrangements for events and projects, including registrations, hotels, air, car, and food stipends. Ensures usage of travel discount contracts with hotel and car rentals.
- Coordinates with Office & Events Administrator on property management items.
-Supports and assist other pillar administrators as needed, including People and Studio Experience, Project Delivery, Client and Community Relations, and other Firm administrative tasks.

- Maintain reliable transportation.

- Read, prepare, and proofread documents.
