Responsibilities

  • Greet and welcome guests: Ensure a warm reception for all visitors, notifying appropriate staff of arrivals.
  • Answer and direct calls: Manage a multi-line phone system and relay messages.
  • Maintain reception area: Keep the space clean and inviting and ensure supplies and materials are available.
  • Manage mail and deliveries: Sort, distribute, and prepare outgoing items.
  • Assist with administrative tasks: Data entry, filing, and documentation for departments.
  • Monitor security: Oversee visitor check-in/out, issue badges, maintain logs.
  • Maintain confidentiality: Uphold privacy and confidentiality standards.
  • Data entry: Enter data in school information systems and audit reports.
  • Process credit card payments from students, generate receipts & post on SIS.
  • Assist with Tuition Option contracts and posting payments to student ledgers.

Position Summary

The Front Desk Receptionist is a vital member of the team, serving as the initial point of contact for students, faculty, staff, and visitors. This role is instrumental in providing administrative support across the organization, ensuring a welcoming, efficient, and professional reception and customer service. The Receptionist will manage various tasks to maintain the smooth operation of the front desk, offering a friendly and organized entry point to the college and its departments.

Essential Duties and Responsibilities
  • Greet and Welcome Guests: Ensure a warm reception for all visitors, making them feel comfortable, and promptly notifying the relevant personnel of their arrival.
  • Answer and Direct Calls: Efficiently manage a multi-line phone system, directing calls to the appropriate staff member or department, and accurately taking and relaying messages.
  • Maintain Reception Area: Keep the reception space clean and inviting, ensuring that all necessary supplies and informative materials are readily available.
  • Manage Mail and Deliveries: Efficiently sort and distribute incoming mail and packages and prepare outgoing items.
  • Assist with Administrative Tasks: Support various administrative activities, such as data entry, filing, and preparing documentation, to assist departments across the institute.
  • Monitor Security: Oversee visitor check-in and check-out procedures, issue visitor badges, and maintain logs to ensure a secure environment.
  • Maintain Confidentiality: Treat sensitive information with the utmost discretion, upholding privacy, and confidentiality standards.
  • Data Entry: Enter Data in the school information systems and audit reports and update Data in system. Work on monitoring folders and entering the data from the Audit of them.
  • Process credit card payments from students, generate receipts & post on SIS.
  • Other duties as assigned to include but not limited to assisting with Tuition Option contracts, collecting payments from students, posting payments to the student ledger, reviewing reports for Tuition Options as needed.
