The Holland Area Arts Council (HAAC) is a nonprofit arts organization dedicated to engaging, educating, and challenging our community through the arts. For over 55 years, HAAC has served as a creative hub along Michigan’s lakeshore, offering exhibitions, public programs, community partnerships, and over 100 art classes annually for youth and adults.

Position Summary

The Front Desk Receptionist is a key public-facing member of the Holland Area Arts Council team. This role supports day-to-day operations by providing a welcoming presence at the front desk, ensuring clear communication with visitors, students, and families, and assisting with smooth coordination between departments during open hours. The Receptionist plays an important role in making HAAC a professional, responsive, and accessible environment for all who enter.

Ideal for someone with strong organizational and interpersonal skills, this position requires attention to detail, independent follow-through, and a passion for inclusive arts access. The role helps create a cohesive visitor experience that reflects HAAC’s mission to engage, educate, and challenge the community through the arts.

Core Responsibilities

1. Front Desk & Customer Experience – 60%

  • Greet all visitors and students warmly, answer questions, and direct inquiries to relevant staff
  • Answer phones and general inbox email; provide accurate information about classes, exhibitions, and programs
  • Process payments, class registrations, and clay purchases using HAAC’s point-of-sale and registration systems
  • Keep the lobby and front desk area clean, organized, and stocked with current materials and forms
  • Track attendance and visitor participation across events and drop-in programs
  • Support wayfinding, accessibility, and general hospitality during public hours and events

2. Administrative & Coordination Tasks – 30%

  • Maintain daily front desk checklist (mail, deliveries, opening/closing, voicemail log, supply levels)
  • Assist with building access and coordination for instructors and visitors during program hours
  • Communicate observed needs or visitor feedback with Operations or Education staff
  • Help prep materials for events, workshops, or seasonal programs as needed
  • Maintain up-to-date records of supplies, event sign-in sheets, and basic internal documentation

3. Event & Program Support – 10%

  • Provide basic event support at community days, gallery receptions, and special workshops
  • Assist with light setup/takedown or managing crowd flow as directed
  • Serve as a calm, helpful point person for guests during HAAC-hosted programs

Qualifications

Required

  • Friendly, attentive, and professional demeanor with diverse audiences
  • Excellent communication skills, both verbal and written
  • Comfortable managing a public-facing space and handling interruptions with poise
  • Strong attention to detail; ability to manage multiple tasks calmly and efficiently
  • Basic computer skills (email, Google Workspace, POS systems, online calendars)

Preferred

  • Experience in a nonprofit, gallery, or arts education setting
  • Interest in visual art, community engagement, or arts access work
  • Availability to cover at least one Saturday morning per month and 2–3 weekday shifts
  • Bilingual (Spanish/English) a plus but not required

Work Schedule & Compensation

  • Part-time hourly position averaging 15–20 hours per week, with seasonal variation
  • Includes daytime (usually 9:30am-3:30pm), and some weekend hours depending on programming cycles
  • Hourly wage commensurate with experience and HAAC’s wage structure ranging between $15-$18/hour
  • Position includes paid sick time and complies with Michigan part-time labor law
