As a Front Desk Receptionist, you will be the first point of contact for visitors and callers, playing a crucial role in setting a welcoming and positive tone for our business. The successful candidate will be someone who possesses a bubbly personality, enjoys interacting with people daily, and embraces the challenges of a busy environment.
- Greet visitors and direct them to the appropriate departments or individuals.
- Answer, screen, and forward incoming phone calls while providing basic information when needed.
- Handle inquiries from the public and relay messages to appropriate staff members.
- Arrange travel and accommodations for staff members when necessary.
- Assist with the scheduling and planning of meetings and appointments.
- Perform miscellaneous clerical duties such as filing, photocopying, and transcribing notes.
- Provide excellent customer service, ensuring all interactions are handled with diplomacy and professionalism.
- Operate and maintain office machinery including printers, copiers, and fax machines.
- Keep reception area tidy and presentable with all necessary stationery and material.
- Assist with small project management, overseeing or participating in tasks aimed at improving office processes and environments.
- Process and distribute daily mail and other deliveries, and manage outgoing correspondence.
- High school diploma or equivalent; further education in business administration or a related field is a plus.
- Familiarity with office equipment (e.g., fax machines, printers, phone systems etc.).
- Strong communication skills with the ability to interact with guests and staff at all levels.
- Ability to organize, multitask, prioritize, and work under pressure.
- High level of attention to detail and problem-solving skills.
- Possess a warm, personable nature and a can-do attitude.
